An excellent opportunity for a
company on the FTSE 250 are looking to appoint a new PA to the Senior
Vice President. This is a well-known, innovative company who in recent
years have branched out to diversify their product list.
You
will be based in the Head Office in a fantastic location which covers
two floors over-looking central London's skyline and some of the
capitals most notable landmarks.
We are looking for an
accomplished EA who works with a sense of urgency and is always one
step ahead. You will support the senior management team who require
someone who can provide exemplary support and hit the ground running.
You will provide efficient support to the SVP and also other
members of the leadership team, the FD and Strategy Vice President.
You will act as a central point of contact for their global teams and
arrange global team meetings.
- Extensive diary and
travel management for the SVPs which includes creating detailed travel
itineraries, sourcing, reserving and managing accommodation, visa
applications, arranging ground transportation, compiling and
submitting travel expenses, etc.
- Filter emails appropriately,
effectively handle urgent communications and prioritise for the SVP
- Prepare and compile and polish presentations for the SVP
- Independently organise larger scale (30+ people) meetings at
various international locations
- Organise monthly business
review meetings, prepare agendas, prepare pre-reads for the SVPs team
- Act as a champion for the 'information / communication hub'
for FBS
- Meet and greet guests at the London office ensuring
that they are well catered for
- Provide additional support to
the VP Strategy and Commercial Finance Director, including occasional
travel arrangements, preparing expense reports, monitoring SAP
expenses and invoices, arranging meetings and meeting room facilities,
etc.
- General point of contact for all office related queries,
ranging from office supplies, health & safety, meeting room bookings,
trouble shooting and occasional on-boarding of new team members
- Arrange events / meetings for the wider organisation in
conjunction with other PAs and providing absence cover for them as
required (and vice-versa)
- Process purchase orders and
expenses in SAP and invoice and travel cost controlling
- Other
projects e.g. Social Committee participation or safety committee are
optional
- Ability to travel 1-2 times a year (e.g. to
facilitate meetings or conferences) as required
- Any other
duties as required
This role needs someone who is
familiar and can cope with working under pressure and to tight
deadlines whilst executing with utmost precision. You must be able to
retain and summarise high level information. You need to be
comfortable juggling a heavy and ever - changing workload.
You will be joining a team with a real family feel and they are
looking for someone to embody the company values.
Ideally, you will be available immediately, though those on 1 month
notice period will also be considered.
