JOB TITLE: Executive Assistant

JOB TYPE: Temporary

PAY RATE: £20.05 per hour

LOCATION: Initially based from home, however if this changes the office is based in Kings Cross, London

PURPOSE OF JOB:

To provide high quality, proactive executive support and to support organisational Governance across the following portfolios:

  • Finance, People and Partnerships
  • Digital Transformation and Safeguarding
  • Services, Property and Development


KEY RESPONSIBILITIES:

Role:

  • To provide comprehensive and high-quality executive support within a designated portfolio, including diary and email management, travel and accommodation arrangements, event planning and drafting appropriate correspondence.
  • To support organisational governance requirements, keeping the organisation's forward calendar updated and being responsible for servicing and supporting identified governance meetings and events; to include planning logistics, preparing and distributing agendas and papers in appropriate formats, minute taking and chasing actions. To provide any ad hoc support for the non-Executive members in their role as members of the Trustee Board and/or committees and steering groups
  • To lead and contribute to projects at various levels of the organisation, championing and supporting continuous improvement (for example all staff producing accessible documents, information governance
  • To deal effectively with a range of day to day enquiries, and acting as the first point of contact for internal and external customers
  • To review and streamline administrative systems and processes to ensure that they are efficient and effective and deliver value for money. Working with colleagues to deliver consistency across the organisation, identifying and gaining agreement for activities that may be reviewed, adapted or ceased
  • To ensure Directors are appropriately prepared for all meetings, events and discussions; including researching and collating information for briefings, presentations and reports. To treat all matters with discretion and confidentiality, sharing information between them only as directed to do so
  • To maintain information and records with appropriate confidentiality, in line with organisational policies
  • To provide cover for the other Executive Assistants as required


Person Specification:

  • Substantial experience providing executive support services at Director level/experience supporting Boards and Committees is desirable
  • Demonstrating a high degree of adaptability and ability to handle sensitive information with discretion
  • Experience of working with and supporting Directors operating within the delegated authority of senior management, demonstrating organisational and time management skills
  • Experience of implementing, monitoring and progress chasing service-monitoring systems
  • Substantial experience of recording minutes during high level, confidential meetings
  • Knowledge of all aspects of office procedures and confident in the use of MS office applications and other IT systems
  • Ability to interact with others in a sensitive and diplomatic manner; build effective relationships at all levels to secure strong team working and influence to achieve results
  • A self-starter with experience of working independently whilst being able to contribute and work effectively as a team member
  • Experience of developing and implementing executive support services in a large organisation
  • Proven ability to organise time effectively, create work schedules, prioritise workload, meet deadlines and multi task with ease
  • Proven ability to use own initiative, anticipate issues and take appropriate action
  • Proven ability to speak clearly and fluently, communicating at all levels up to board level
  • Proven ability to produce written communication that is fluent, clear and concise and adapting style to suit the audience
