The Role: Project Coordinator

We have an opportunity for a Project Co-Ordinator to join our client’s fantastic team, performing a key role within one of their UK-based teams, and will be based out of their studios in Southend-on-Sea, Essex.

The role will involve acting as a liaison between key stakeholders, project management team members and the artwork studio. Collating key information onto their servers and MIS. Managing artwork approvals through multiple client online approval systems.

Role Summary

  • Receive, interpret and collate all required elements needed for the artwork studio brief.
  • Liaise with Project Manager to enable you to create records onto the internal information system.
  • Estimate and collate costs for artwork, repro and retouching.
  • Monitor and chase artwork through with the client information system, in alignment with critical path and film to printer dates where applicable.
  • Perform the role of ‘gatekeeper’ within the client information system, which will require communication with defined stakeholders to resolve any issues with artwork comments.
  • Provide feedback if required to assist the Studio Manager with assessing the quality of the information filtering through to the studio.
  • Flex and support other accounts workload when required.

Breakdown

  • Booking in and collating elements onto the client system where applicable.
  • Once artwork brief is received from the project management team, ensure work is distributed and booked onto the internal system in a timely fashion to given SLA’s.
  • < i>Once an artwork is submitted to the client for approval, where applicable ensure you monitor and chase the artwork via email and telephone.
  • Once jobs become live within the studio ensure you are providing regular updates to the Project Manager on queries and on hold jobs and ensure these are being followed up and chased at regular intervals or through the relevant WIP calls.
  • Once the artwork is ready and on task list on the client approval system (Workfront), ensure you brief back amends / repro to the UK studio, ensuring all amends are checked, understood and conveyed clearly to the studio and queried if necessary. These must be sense checked before submitting.
  • Escalate any issues to the Head of Operations.
  • Provide reporting data when required.

We are looking for a Resident Liaison and Project Coordinator to join us in the Property Assets and Compliance Team within our Housing Directorate.

About the role

Reporting to the Business Services Manager you will deliver a highly effective, customer-centric, and innovative business support function.

You will:

  • provide proactive programme and project administration support to the Project Manager for the Housing Capital Project
  • provide effective support for the everyday running of programmes and projects, in accordance with the project management framework
  • set up, undertake, and manage the customer/resident liaison across multiple programmes / projects
  • attend customer/resident liaison meetings either face to face or digitally to ensure a high performing customer centric service is delivered
  • be responsible for ensuring complaints are responded to, and areas of customer dissatisfaction addressed
  • oversee programmes and project timetables, including communicating with team members to maintain key milestones
  • raise and process work orders/purchase orders, process invoices, including variation requests

About you

You will possess an NVQ 3/ONC level or equivalent knowledge gained through experience.

You will:

  • have experience of assisting in project managing work projects and investment programmes
  • have experience in the customer/resident liaison process in relation to setting up, undertaking and managing
  • be pro-active at all times, with a flexible, pragmatic approach to supporting and guiding staff and colleagues
  • need to have a full driving licence and access to a car to conduct home visits
