Role: Administrative Officer

Type: Internship – 12 months fixed-term

Location: London/Onsite

The Role

As an Administrative Officer , you will provide administrative support and manage employee queries acting as the point of contact for the employees.

During the internship, your main duties include managing the facility upkeep, office stock, vendor management, preparing regular reports, such as expenses and office budgets, and organising office events.


Key responsibilities:

  • Manage upkeep (including equipment and tools) and cleanliness of office space including the work environment and keep it anytime ready.
  • Answer queries and provide support to employees and clients.
  • Manage office supplies stock and process approval timely for orders.
  • Prepare regular reports on expenses and office budgets.
  • Provide access to visitors and clients, process these requests in a timely manner including liaison with building security and management.
  • Book meeting rooms as required and ensure support for all clients and meeting requirements.
  • Plan, support, and manage in-house and external client events as required.
  • Distribute and store correspondence such as letters, emails, and packages.
  • Manage dispatch and logistics through vendors including liaison with the building management.
  • Manage transport, company car allocation, and related activities including insurance, recoveries, and coordination with the vendors.
  • Support the deployment of operational safety processes and procedures of building as per SOP.

Your Profile

Key Skills/Knowledge/Experience:

  • A degree in business or related area.
  • Understanding of administrative support or facility management.
  • MS Office skills (MS Excel and MS Word, specifically).
  • Strong organisation skills with a problem-solving attitude.
  • Excellent written and verbal communication skills with attention to detail.
  • Ability to be a team player who collaboratively strives to achieve the common goal.
  • Ability to learn new skills and develop professional competencies.
  • Ability to adapt by embracing change to improve the quality and effectiveness of work.
