Administrator: EHCP Co-Ordinator  

 

Location: Smallfield, Surrey
Contract: Part-time, Permanent, Full Year.
Hourly Rate: £12.31 - £16.03 per hour 
Salary: Actual salary £7,681.44 - £10,002.72 dependant on experience and qualifications
Hours:  12 hours per week

 

Aurora Redehall School 

We’re currently looking for a part time Administrator: EHCP co-Ordinator   for our school. Aurora Redehall School is linked to Caterham Education Centre, they share the same Principal and Head of School, however each site has its own Assistant Head and team of Teachers and TAs. There is also a full therapy team on site to support staff and students. Although the sites operate separately, students and staff do cross between sites.

Key Responsibilities: 

  • To be a point of contact for enquiries and referrals from Aurora commissioning and placements team
  • Maintain Zoho, the admissions tracking system, with details of all new referrals.
  • Maintain the Annual Review tracker sheet, including liaising with key staff to ensure statutory deadlines are met.
  • Liaise with parents, staff and outside agencies with regards to all pupil related meetings, visits, etc., including arranging Annual Review Meetings.
  • To liaise with the Designated Person for Child Protection regarding any concerns for pupil welfare.
  • Maintain the Schools information system (Engage) with pupil & family details.
  • Ensure that all registers are up to date and follow up any unexplained absences.
  • General administration to type correspondence or documents as requested by other members of senior staff.
  • Monitoring school emails and forwarding / answering as appropriate. 
  • Covering Reception and telephone, welcoming visitors – ensuring correct procedures are followed.
  • Support SLT in arranging open evenings and parents’ evenings by providing excellent communication out to all parties and ensuring that appointment booking systems are maintained.

Skills and Qualifications

Qualifications:

  • Good level of literacy and numeracy (at least 5 GCSEs [or equivalent] above 4 to include English and Maths).
  • High levels of interpersonal ability with excellent written and verbal communication.
  • Able to work as part of a team but also to work alone.
  • Ability to be discreet, confidential and reliable.
  • Experience of SEN children/young adults desirable.

Knowledge and experience:

  • Excellent communication skills, both verbal and written
  • Demonstrable experience of working in an administrative role (Preferably in a school setting)
  • Computer literacy – Excel, Word, Outlook, Access, PowerPoint (desirable) and ability to use range of databases once trained.
  • Accurate typing, touch typing desirable.
  • Organised, good time management.
  • Ability to manage own time to deal with multiple tasks.

The role may require you to travel between school sites, also for training purposes and there is a possibility of lone working.


Due to the location of the school the ability to drive is desirable as public transport connections are limited.
