Associate Director, Productivity and Collaboration Centre of Excellence – 12-month Fixed Term Contract

The AD, Productivity and Collaboration Centre of Excellence will assist leading the Productivity and Collaboration Centre of Excellence which is part of the Digital Workplace. 

You will Partner with I&T functions and the rest of the business to develop collaboration products and solutions that follow the appropriate governance and best practices.  As part of this role, you will establish and manage a flexible pool of third-party resources; forging strong relationships across the entire CSL business, you will promote and partner with colleagues to build a collaborative and productive workplace and workforce.

As well as MS 365 technical knowledge; excellent stakeholder management, and experience of managing multiple projects is key.

This position reports into the Director, Workplace Experience and Delivery

You will need to be on site at MDH twice a month

Responsibilities include

  • Provide consultancy for business initiatives that seek to utilize Digital Workplace solutions
  • Establish & maintain best practices and ensure adherence
  • Establish & maintain processes that govern the development and deployment of solutions
  • Ensure continued alignment of the vision/strategy for the CoE with I&T, Infrastructure and DWS vision and technology roadmaps and city plan as well as CSL’s 2030 strategy
  • Pilot new technology prior to deployment
  • Develop business solutions and products on established Digital Workplace tools
  • Empower Citizen Developers across the business to develop solutions themselves within the appropriate governance and frameworks by providing a community and support to share best practises
  • Ensure knowledge is well documented and maintained
  • Ensure communicating changes effectively and managing delivery in partnership with stakeholders across the business and I&T
  • Leverage network to ensure alignment by partnering with appropriate teams across I&T e.g., Enterprise Architecture to ensure that development is in line with the strategic direction and the overall city plan to improve our technology landscape
  • Manage the lifecycle of DevOps solutions
  • Ensure appropriate support for all solutions in active pilot / early-life prior to formal handover into operations
  • Manage escalations and facilitate resolution via managed service providers
  • Manage change according to established change control procedures and work closely with the Service Management team on scheduling their release into productive environments in-line with the change management process
  • Work closely with the service owner for all Productivity and Collaboration solutions Microsoft and Non-Microsoft
  • Manage third party service provider to ensure solutions are developed and supported according to governance and processes
  • Enhances and delivers systems that are in alignment with the I&T vision/strategy
  • Create KPIs and report upon key metrics to evaluate the effectiveness and efficiency of the CoE
  • Collaborate with key business stakeholders and encourage feedback to enhance the CoE and team
  • Creates an open and safe environment to receive feedback and ideas and look to implement required improvements
  • Drive and manage change for enhancements to existing technologies and provide consultation and resource for larger I&T strategic priorities within the Digital Workplace collaboration and productivity area and impacting technologies, including:
  • Delivery of solutions that are identified within the Digital workplace program
  • Champion Digital Workplace Services standards in business-led projects
  • Provide oversight to prototypes, proof of concepts, or full product deployments
  • Provide regular updates to the business/stakeholders on status of projects/changes
  • Provide feedback to ensure continuous improvement on change/project framework at CSL
  • Managing the workload and enhancements from the business effectively
  • Drives and initiates projects/deployments of solutions that can enhance the end-user experience
  • Communicates effectively with the rest of the business to build strong relationships and ensure we are the partner of choice
  • Understand business processes and pain points to automate and enhance processes so they are more efficient alongside empowering our colleagues to become more effective and develop solutions themselves within the governance framework (Citizen Development)
  • Manage a community that brings the business together to drive best practices and showcase successes of where they have got the best out of the productivity and collaboration tools through citizen development to drive efficiencies
  • Pushes team to look for and implement improvements to create efficiencies within the team that could be shared with the wider organization
  • Ensure that the infrastructure team (including non-employees) are trained and complying with the appropriate regulatory guidelines (e.g. cGMP), global I&T procedures, I&T standards, I&T practices and Computer Systems Validation methodology as defined by QMS (global I&T Quality Management System)
  • Ensure audit findings are closed within agreed timelines
  • Align with the Director, Workplace Experience Delivery to consistently delivery on the Infrastructure Experience vision and roadmap to deliver high-quality and consistent colleague experiences across the Infrastructure portfolio
  • Measure and communicate the impact and value of the Infrastructure Experience initiatives
  • Act as a point of contact and escalation for the wider team when the teams when Director, Workplace Experience Delivery is not available
  • Represent Director, Workplace Experience Delivery in meetings and forums where Infrastructure Experience is involved or relevant
  • Participate and contribute to the Infra Experience initiatives and projects, and take the lead when required or assigned by Director, Workplace Experience Delivery
  • Act as the accountable delivery lead for the DWS BAU projects that have a significant impact on the colleague experience and satisfaction
  • Manage the end-to-end delivery of the DWS BAU projects, from planning and scoping to testing and deployment
  • Lead an RFP to select a suitable vendor to provide the required service for the Productivity and Collaboration CoE aligning to the vision/strategy and identified requirements
  • Selection, negotiation, establishing service levels (SLAs), monitoring, and reviewing performance and contract management.
  • Establishing of good relationship with global vendors.
  • Support global Procurement in case of contract negotiation for CSL wide contracts.
  • Maintain a working knowledge of current technologies and best practices related to collaboration and productivity tools
  • Advanced understanding of the Microsoft 365 landscape and how can provide the relevant solutions to CSL

Qualifications Skills and Experience

  • Bachelor’s degree or equivalent; education preferably concentrated in IT, Engineering or Science; Master’s degree or post graduate coursework is preferred
  • 8+ years relevant IT experience including specific experience
  • Pharmaceutical/Biotech or similarly regulated environment experience is preferred.
  • Deep understanding of and practical experience in Microsoft Collaboration and productivity tools, including but not limited to: Teams; OneDrive; Stream; Delve; Power Platform and other third-party tools that supplement e.g. Nintex, Sharegate
  • Deep experience creating business solutions based on Microsoft 365 platform development, including: Power Apps, Power Automate, Power BI, SharePoint
  • Computer literacy with Microsoft Office products, such as Project, PowerPoint, SharePoint, Excel, and Visio
  • Knowledgeable with all aspects of the SDLC (Systems Development Life Cycle) and agile methodologies
  • Experience of a highly regulated IT environment or good documentation culture, including formal change management processes
  • ITIL qualified, or equivalent knowledge gained through work experience
  • Experience operating with outsourced service providers in an international context
  • Experience managing IT projects within a global environment
  • Expert level experience in translating business requirements into solutions
  • Demonstrated experience in developing product roadmaps and functional specifications, launching new products, conducting customer research, and informing user testing
  • Experience of Nintex workflows an advantage
  • Vendor Management
