Salary: Competitive

Hours per week: Nonday to Friday - 08:00 - 16:30 - 40 hours per week

Role Overview

We are currently recruiting for a Contract Vetting Administrator to join our passionate and driven team based at our Glasgow office.  

The Vetting Administrator will be responsible for the coordination and management of the employee vetting process across multiple government facilities management contracts.

This is an important process which will demand meticulous eye for detail and to operate in a strictly confidential manner. The role will support the senior leadership team in security, compliance and risk management, associated with contractor and individual vetting on behalf of the client. Consequently, to ensure that only authorised contractors and personnel have access to the client estate to undertake the necessary reactive maintenance works.

The successful candidate must pass required individual clearance level of vetting.

Key Responsibilities:

  • Overall ownership of the vetting application and compliance process.
  • Point of escalation for any queries in relation to sub-contractor and individual vetting queries.
  • Ensuring vetting forms are completed correctly as a pre-screening check ahead of submission to the client, to ensure process efficiency.
  • Responsible for updating individual vetting tracker to control status of all vetting applications and furthermore, scheduled renewal due dates.
  • Responsible for updating sub-contractor vetting tracker to control status of all company vetting applications and furthermore, scheduled renewal due dates.
  • Implementation and communication of renewal dates 6 months ahead of any expiry dates and management of information flow accordingly.
  • Communication of company and individual failed / revoked vetting.
  • Attending of weekly client vetting coordination meetings.
  • Monthly KPI Reporting data report production.
  • Production of monthly dashboard vetting report for contract report. Detailing overall stats on vetting applications approved, rejected, pending approval and overdue approval.
