This opportunity sits as part of our growing Occupier Services team and is based within our central London office within Colliers EMEA. The role will be supporting the CAFM maintenance/ reporting function within a seconded team at one of the Occupier Services most prominent accounts.

Job Description

Key Responsibilities:

  • Maintain the CAFM process documentations keeping them up to date. Update all documentations when new processes are introduced.
  • Manage and report on database taking daily feeds from CAFM & other bank systems to ensure high levels of accuracy.
  • Validate and produce weekly occupancy and space allocation reports.
  • Run and submit the monthly recharge process in accordance with the banks processes and monthly cycles.
  • Manage the new starter process and place into the CAFM system on a weekly basis.
  • Capture and update all weekly changes related to MAC (Moved Adds and Changes), space planning updates, occupancy / audit surveys etc.
  • Update CAFM employee self service requests.
  • Run weekly automated allocation floor plans PDFs and upload to the appropriate locations.
  • Set up new buildings and remove old buildings in CAFM.
  • Ensure CAFM suite leases align with SAP / RFX real estate systems.
  • Problem and error resolutions to master systems primarily CAD and CAFM.
  • Maintain the accurate levels of occupancy and space allocations (recharge) along all business lines.

Business Relationships: 

  • Collaborates with various client teams including Security, Project Management, Spaceplanning and Finance.
  • Interacts with clients across the business (typically up to Business Manager level) in relation to space allocation (recharge) queries.
  • Meets regularly with Head of Workplace to update on status of current projects.

Qualifications

Key Skills and Qualifications:

  • 5+ years’ experience in CAFM systems with a high level understanding of occupancy management and space allocations.
  • Advanced knowledge and ability to use AutoCAD and CAFM systems.
  • Great analytical skills with a high degree of proficiency with Excel, PowerPoint and other MS tools.
  • Excellent communicator, with good level of presentation skills who is able to communicate effectively with internal and external clients.
  • Detail-focused and organised with the ability to action tasks in a timely manner that will benefit the end-user and provide an excellent client service.
  • A collaborative team player, who is comfortable working across teams.
