Full Job Description

OVERALL SUMMARY

The Client Reporting, Fulfilment & Mailroom Team are responsible for the production of client outputs, statements and reports, on a daily, periodic and ad hoc basis, ensuring quality standards are governed and maintained. The team assumes ownership of the client reporting processes to ensure that checks, across all other departments, are complete, before generating, printing, and distributing reports and mail. Reporting timeliness and accuracy are key to this function. All incoming and outgoing mailroom activity for all of CBAM, including scanning, is undertaken by this team.

The role will be:

  • To undertake the production/generation, printing and despatch/loading online of individual and bulk client outputs and documentation for all client types.
  • To ensure all regulatory deadlines and responsibilities of the team are met and maintained.
  • To be involved in the Mailroom activities of the team, as and when required.

RESPONSIBILITIES

  • To undertake the full range of activities that fall within the remit of the Client Reporting, Fulfilment and Mailroom Team, including:
  • Daily production, printing, despatch and loading online of all system produced client correspondence, including, but not limited to, contract notes, which must adhere to strict regulatory deadlines.
  • Detailed checking and production of periodic valuation/statements on a quarterly basis.
  • Production and despatch of annual tax statements.
  • Undertake control checks to ensure quality, accuracy and completeness of client reporting.
  • Ad hoc production of mass mailings to support the business.
  • Bulk printing of documentation to support the business on a regular and ad hoc basis.
  • Close liaison with other internal business units to ensure that an excellent service is provided to both internal and external clients, at all times.
  • To administer incoming and outgoing mail for all clients, including sortation, distribution, scanning onto the document management system and archiving, where applicable.
  • Assisting in collating departmental statistics on a daily and monthly basis, where appropriate.
  • Assisting with maintaining an up-to-date Procedures Manual.
  • To participate in the Appraisal and Development Scheme.
  • Demonstrate the Firm’s Business Principles (Client, Excellence, People & Integrity).
  • To inform Line Manager of areas of concern and issues that may arise.

WE WOULD LOVE TO HEAR FROM YOU / PLEASE APPLY IF:

  • Previous Financial Services experience, specifically in a Wealth Management business, would be a key advantage.
  • Bulk printing (including mail merge production) experience would be an advantage.
  • Strong Microsoft Excel skills essential.
  • Flexibility and availability to work regularly outside of normal office hours (evenings and weekends), some of which would be at short notice.
  • Keen attention to detail (system and non-system).
  • Ability to work quickly and accurately within very tight deadlines.
  • Good team player with the ability to work on own initiative.
  • Good communication skills.
