Job Title: EA to the Executive Leadership Team - VAC92


Working Hours: 37.50 per week (Flexible and part time working offered by agreement)


Salary: up to £28,000 per annum


Contract: Permanent


Deadline: Friday 3 May 2024

The Role

Reporting to the Executive Assistant to the Chair & Chief Executive, this new role will provide effective and efficient high level administrative support to the Executive Leadership Team. This includes supporting the prioritisation of workloads, diary management, meetings management and communication, document production and quality assurance, whilst observing the rules of confidentiality.


The person will:

  • Manage Executive diaries by scheduling, prioritising, and coordinating appointments.
  • Organise UK travel plans, including scheduling meetings and making travel arrangements and the production of detailed travel itineraries.
  • Attend specific meetings and take notes, draft minutes and action recommendations as required.
  • Monitor follow up actions to ensure timely delivery and effective outcomes.
  • Ensure that cyclical and management deadlines for reports, reviews, budgets are met.
  • Read and prioritise incoming correspondence and prepare draft responses as appropriate, ensuring that replies are produced within the required timeframe.


The successful candidate will have:

  • Proven experience of providing high quality administrative support to Senior Leaders or Directors.
  • Experience of diary, inbox, and correspondence management.
  • Knowledge of EA/PA techniques, tools, and systems - such as bring forward system, forward meeting planners, business calendars, action trackers etc.
  • Comprehensive working knowledge of Microsoft Office tools especially Word, PowerPoint, Excel.
  • Strong interpersonal and relationship building skills specifically with senior leaders and enjoy interacting with others.
