Job Purpose

Your role will provide support and analysis across multiple programmes and business support activities for the Enterprise Applications team. The role is varied but will include.

  • Creation and Management of the resource planning across Finance and HR.
  • Ensuring resources are allocated to the priorities of the business.
  • Liaising with the Project Management teams on the inflight projects ensuring resources and balanced correctly.
  • Supporting the Service Managers to provide the required service level for the whole suite of Enterprise Applications.
  • Supporting the team to ensure critical documentation is created and maintained.

The role requires a combination of strategic planning, analytical thinking, and strong communication skills to effectively manage resources and support the successful delivery of Enterprise Applications tasks.


Key Accountabilities

Business as Usual Co-Ordination and Administration

  • Creation and maintenance of all non-project reports, plans and documentation.
  • Ensure consistent delivery practice is applied across the team and present new ideas so that delivery is continually improved.
  • Analysing and documenting "as is" business processes. Evaluate the current state of business process and model the "to be" business processes.
  • Produce MI for stakeholders, including progress dashboards.
  • Create and manage a series (Operational, Tactical and Strategic) of stakeholder groups to create a collaborative environment with end users.
  • Support Service Managers on Service Reviews with suppliers
  • Working with all the team tracking work, tasks and assignments
  • Own the documentation repository which will include amongst others the IT Business Continuity plans, ITGC, Application Register and ensure they are up to date.
  • Working with the learning team to producing appropriate training for the applications.
  • Coduct capacity planning exercises to forecast resource demand and identify potential bottlenecks or resource constraints.

Resource support for Projects

  • Define the process for co-ordinating resources between BAU and projects, including those managed outside IT such as Transformation.
  • Work with the individual project managers to resolve issues with the resource limitations.

Driving Innovation

  • Work closely with the Service Managers to recommend process changes relating to applications, both in respect of potential implications to, and support from, the applications to increase efficiency and accuracy of the overall processes.
  • Develop and manage processes for the effective delivery of future activity as required, including legislative and corporate changes.

Person specification

Core skills & competencies

  • Robubst problem-solving and analytical skills
  • A self-starter who is results-driven with high levels of self-motivation, energy and initiative
  • Excellent verbal and written communication skills to effectively collaborate with various stakeholders in a complex environment.
  • Ability to focus on the delivery of outcomes, can work under pressure, respond quickly to changing circumstances and tight deadlines.
  • Fluency in another language is an advantage (preferably Spanish or German)

Expertise & knowledge

  • A good understanding of stakeholder relationships and with a proven track record of effective communication including the development of communication materials.
  • Project Co-ordination skills

Technology

  • Experience of enterprise applications in Finance, HR and Payroll
  • Microsoft Office suite skills
  • Knwoledge of Smartsheet, Jira, Signavio an advantage

Qualifications

  • Degree level education
  • Appropriate IT/Project Management/Delivery Qualifications and 10-15 years’ experience in a similar environment.
