Purpose of the Role

This is a critical role which will provide full-time and comprehensive Executive Assistant support to the EMEA CPO (70%), EMEA Director of Talent & Leadership (20%) and EMEA HQ Centres of Excellence (CoE) Leads (10%).

This is a position of trust and huge responsibility, confidentiality and discretion.  Working with the EMEA CPO and Talent & CoE Leads means being responsible for our people. This role requires someone who is execution orientated and meticulous in terms of attention to detail. It also requires a solutions and proactive mindset with a will-do attitude.

Key Responsibilities

  • Extensive diary, inbox, and travel management – often across multiple time-zones.

  • Ensuring all regular EMEA and Group Meetings are diarised and managed in accordance with the annual and monthly dentsu meeting cadence requirements.

  • Working closely with the E&C team to ensure Speak Up cases are picked up and reported on within the SLA close out period.

  • Producing high quality documents either in PowerPoint (for internal & external meetings), Word or Excel, ready for both the EMEA HR CPO and CoE Leads.

  • Driving our EMEA HR priorities through coordinating quarterly strategy sessions, quarterly HR townhalls, onsite/offsite HRLT workshops and the annual recognition event.

  • Drafting announcement communications and supporting with on-boarding plans and scheduling

  • Ad-hoc support (10%) to the EMEA HQ Centres of Excellence (CoE) Leads with cyclical projects and scheduling, coordinating travel and expenses and booking meeting room/welcoming guests to the office etc.

Qualifications + Skills

  • Experience of supporting senior executives (at board level) and working with senior stakeholders, preferably in a fast-paced and global organization.

  • A high degree of resilience, maturity, proactivity, self-motivation, initiative, creative abilities, as well as the ability to apply commercial acumen to tasks.

  • The confidence and ability to exercise good judgment and decision making in a variety of complex scenarios.

  • Professional discretion and understands the importance of confidentiality.

  • Talent for proactively anticipating the needs of stakeholders and ability to work independently.

  • Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and SAP Concur.
