Full Job Description

Zenterra Developments is seeking a talented and versatile Executive Assistant to join our team. This role will appeal to a self-motivated, highly detail-oriented individual who enjoys being relied upon to get things done. You are someone who always anticipates what’s needed and is two steps ahead of the people you support.

We are a dynamic and innovative real estate development company that specializes in creating exceptional residential spaces. Zenterra is building over 2500 homes in the next 5 years in Surrey and Langley alone. This is a golden opportunity to join an established developer that is about to scale.

What you will be doing:

·        Responds to a variety of internal and external inquiries by serving as the primary point of contact for the President

·        Manages calendars, contact databases, document signing requirements, and prioritises President’s emails and meeting requests. Resolves scheduling conflicts and issues

·   Books and sets up meeting rooms, prepares meeting agenda, organizes meeting materials, records action items, and prepares summary notes. Conducts or ensures follow-up on action items from meetings

·  Provides support by drafting correspondence, producing reports & presentations, and summarizing Senior Management reports

·     Researches, organizes, and summarizes various materials including training and development opportunities

·        Provides and obtains information from senior management or outside representatives; keeps the President informed of any items requiring his attention

·        Helps schedule attendance of industry and charity events and the planning of internal events

·        Performs other related duties

What you know:

  • University degree preferred, plus recent related experience in an entrepreneurial business environment.

  • 3-5 years of administrative support experience

  • Advanced level of computer skills: MS Teams, Word, Outlook, PowerPoint, and Excel

  • Experience in Real Estate Development or Construction industries an asset

  • Excellent time management skills and ability to prioritize and re-prioritize on short notice

  • Confident, intuitive, and a positive, supportive personality

  • Aptitude to learn quickly and apply organizational knowledge to effectively problem solve

  • Superior ability to anticipate needs, multi-task and remain highly organized while being sensitive to the confidential nature of work.

  • Exceptional interpersonal skills, ability to work well with a diverse group of internal and external stakeholders

  • Absolute ‘Surgeon’ of details

  • Proactive and enthusiastic about delivering positive results
