Full Job Description

Temporary fixed term contract until July 2024. Immediate start.

20 hours per week (worked across 4-5 days)

£11.79 per hour

An exciting temporary opportunity for an experienced, proactive and well organised financial administrator to support our annual Eden Sessions.

The role holder will ensure the effective and efficient delivery of financial administrative services for the Eden Sessions, the Eden Project’s famous annual concert series, performed against the backdrop of the world famous biomes (see edensessions.com).

The role holder will carry out all elements of the Sessions finance administration, from raising purchase orders for production, artists fees and other costs, through to processing and tracking invoices. They will work in close liaison with the Eden finance team.  They will liaise regularly with the Producer, suppliers and sponsors and other Sessions partners and affiliates.

Flexibility and superb organisational skills a must. The work is confidential in nature so discretion will be critical to the role.

Role Purpose

Ensuring the effective and efficient delivery of financial administrative services to support the day-to-day activities and revenue earned from Eden Sessions: a key business function within Eden.

                                           

Key Accountabilities

  1. The role holder will carry out The Eden Sessions administration. Raise purchase orders (100+) in accordance with Production Confirmations from the Production Manager and confirmed Artist Contracts via the Director of Music, enter onto tracking spreadsheet, retain file copy for records, get signed off, receipt orders and collate with Invoices from contractors/suppliers and pass to Finance for processing, ensuring compliance with internal financial procedures.

 

  1. Liaise with Purchase Ledger Manager in Finance team (and Eden Sessions’ Chief Accountant) who create a payment schedule. Ensure payment terms are adhered to.

 

  1. The role holder will process and track all invoices relating to filming, and Sponsorship for The Eden Sessions. Ensure meal vouchers are arranged for the crew via catering Log and add to tracking spread sheet.

 

  1. Take a proactive approach to liaison with key Sessions suppliers to ensure the timely administration of POS and invoices and to discuss/assist with other queries.

 

 

  1. Reconcile the Eden Sessions budget expenditure to raise orders and track current spending, ensuring compliance with internal financial procedures.

 

 

Demands of the Role

Education & qualifications

Minimum GCSE grades A-C (or equivalent).

Knowledge & skills

The jobholder will have gained at least four years of previous experience of working in a finance administrative role

Previous experience of finance systems and budget management is highly desirable.

The job holder is regularly interacts with others, including external clients and suppliers. This will require the post holder to exchange and explain a variety of factual information through oral and written communication.

Operational environment

The role will be office based at The Eden Project
