Role: Information Governance Administrator

Offer type: Fixed term for 12 months

Location: Remote

Salary: £24,075 - £27,000

Role Purpose

The role is part of our Data Protection team which prides itself on providing data protection support and expertise advice. The role of the Information Governance Administrator will support the Data Protection team in providing skilled administrative support enabling the efficient and effective control of data protection services.


This role will be required to deputise for the Information Governance Officer in their absence.


Key Activities

  • Inbox management - maintenance of two shared inboxes, including triaging and responding to associated internal and external enquiries and filing
  • Deal with straightforward queries and escalate more difficult or complex queries.
  • Facilitate the FOI (Freedom of Information) process and subject rights requests including logging requests, chasing responses and collating documents.
  • Maintenance of the various team logs includingTrello boards
  • Follow, create and amend existing processes for use within the team or related to data protection compliance at the Trust
  • Maintain the Data Protection team business-facing intranet page, increasing the profile of data privacy within NCS Trust
  • Promoting good records management and ensuring advice is accurately recorded
  • Efficiently maintaining shared drives and day to day filing.
  • Creating reports for various outputs
  • Arranging meetings, minute taking, assisting with presentations and other admin tasks required
  • Supporting the DPO (Data Protection Officer) in maintaining data protection compliance at NCS Trust


Role Specific Skills

  • Self-motivated with excellent attention to detail with a methodical approach to work.
  • A good communicator and able to liaise effectively with all levels of staff across the Trust.
  • Excellent organisational skills with the ability to manage conflicting demands and competing deadlines, prioritising workloads.
  • Able to work independently for simple/routine requests whilst understanding when to escalate issues appropriately.
  • Excellent written and verbal communication skills
  • An exemplary team player with a flexible attitude to day- to-day work


Measures of Success

  • Evidence of timely responses to subject access requests and FOI requests within statutory deadline
  • Evidence of accurate logs, filing, minutes and triaging.
  • Evidence of efficient management of shared inboxes
  • Evidence of timely creation of reports


Experience & Qualifications

Essential:

  • Demonstrable experience in administration or an undergraduate degree or equivalent
  • Demonstrable experience of working in an administrative role in a fast paced environment
  • Strong working knowledge of Google, Microsoft and Adobe suites .
  • Experience of organising and managing critical information and prioritising activity across multiple strands of work


Desirable:

  • Information governance or Freedom of information qualifications
  • Familiarity with data protection management tools used for the collation of information linked to GDPR (General Data Protection Regulations/FOI etc.
  • Track record of supporting the implementation of improved information governance arrangements within a complex organisation.
  • Experience of working in an information governance environment
