Supply Chain Assistant

Worcester

£25,000

Monday to Friday – Flexibility on hours

Purpose of the role

To provide excellent administrative support to the Supply Chain function and support the smooth running of the site facilities through the management of regular external contractors.

 

PRODUCTIVITY/EFFICIENCY

Support the smooth running of the production plan by assisting in managing raw material, ingredient, and packaging inventory.

  • Place orders for ingredients and packaging as required.
  • Manage stocks and adjust deliveries as necessary.
  • Manage together with Supply Chain Team Leaders, rolling stock counts and inventory adjustments.
  • Perform the release of production orders and investigate and escalate any flagged material shortfall.
  • Liaise with suppliers to facilitate amendments to delivery times and quantities of raw materials and ingredients as necessary.
  • Ensure all production orders are closed each morning by the stipulated deadline and that any gaps or errors in the required data are escalated promptly to the shift leader/supply chain team leader as appropriate.
  • Manage repack orders through to completion and ensure timely closure of open orders at month end.

 

PURCHASING & STOCK CONTROL

Responsible for ensuring an uninterrupted supply of consumables used on-site.  

  • Manage the purchasing system to ensure the correct inventory of consumables for the operations departments.
  • Manage PPE distribution and supply.
  • Maintain stocks of office supplies and other sundry items and organise efficient distribution of deliveries arriving to site.
  • Review regularly consumable purchases to identify the most cost-effective purchasing strategy.
  • Work with operations teams to identify ways of reducing waste in the context of consumable use and requirements.
  • Maintain accurate purchase records and report against budget target every month.

EXTERNAL CONTRACTORS

Day-to-day management of external contractors. 

  • Take responsibility for all day-to-day administration relating to contracted service providers used on-site, including but not restricted to contract cleaners, workwear providers, and vending suppliers.
  • Devise and schedule regular internal audits to ensure service standards are being met and where necessary intervene or escalate to ensure the correct level of service is being delivered.
  • Schedule and take the lead at regular meetings with external account managers to review performance KPIs.
  • Ensure charges for non-conformances are levied as per service level agreements.
  • Liaise with external contractors to arrange any requirements outside the everyday norm.

GENERAL ADMINISTRATION & SITE SUPPORT

Provide administrative support as required by the Supply Chain department and the wider operations management team.

  • Provide flexible and proactive administrative support for the Production Planning and Material Control functions.
  • Organisation of any catering, PPE, transport, or other requirements for external visitors.
  • Any other reasonable duties as directed by the Senior Management Team.

COMMUNICATION

Primary communication includes:

  • Supply Chain Manager o Daily operational matters, problems requiring resolution, and external contractor issues.
  • Supply Chain Coordinator o Daily operational matters, and material supply issues.
  • Production Shift Leaders

o Production order issues and repack order requests.

  • Supply Chain Team Leaders o Production order issues, inventory control, consumable stock control and supply.
  • Quality Assurance team o Repack requests, blocked stock reconciliation.
