Summary
The Vehicle Damage Appraiser
estimates damage, schedules work, provides effective communication
between insurance carriers, customers and technicians to assure timely
and quality repairs. S/he organizes and controls work flow within the
group(s)while assuring quality repairs at fair cost to customers.
Essential Duties & Responsibilities
Greet all Body Shop customers in a prompt and friendly manner.
Schedule appointments in computer for repairs with your group of
technicians, dispatching work fairly, for best production, and assist
in coordination with other groups as necessary.
Prepare repair
estimates according to Motors Procedures, CCC estimating and company
procedures relating to assigned insurance carriers.
Obtain
correct vehicle data to include insurance information, if applicable,
as well as correct mileage, VIN# and customer information, including
signature on RO and proper forms. Properly document any RO changes on
the job jacket and the RO.
Maintain a good relationship with
insurance adjusters and assist them as necessary to complete payment
of claims. Keeps DRP assignment logs up to date.
Follow up on all
estimates to insure that all possible sales are made and communicated
clearly. Promptly obtain approval of all supplements with insurance
adjusters as soon as you are notified and before RO closure.
Effectively communicate and provide follow-up with customer, clearly
informing them of progress, costs, time constraints, and establish
realistic vehicle completion time. For larger jobs contact customer
every two days.
Properly post all repair orders for time and
materials and prepare all RO's to ensure parts and labor estimates
match Estimates and Supplement(s). Make sure that all sublets are
billed per established procedure.
Coordinate parts requirements
with parts department.
Compile and audit all paperwork for
correctness and completeness, for final insurance billing, including
supplements, and give to Body Shop cashier to fax or mail.
Provide final inspection of all aspects of repairs and approve quality
of finished repair before notifying customer of completion, and before
customer takes possession of vehicle.
Provide customer with a
final explanation of repairs to their satisfaction and have customer
sign a POA.
Approve final amount for 2nd verification of total
for booker/cashier to charge to Accounts Receivable.
Handle
routine customer complaints and make policy adjustments up to $50
using your best judgment for fairness. Consult with Body Shop Manager
before making adjustments great than $50.
Ensure that all
documents, copies, photos, estimates, supplements, sublets, etc. are
filed together in customer's file.
Strive to attain the forecast
that has been established by management.
Understand and follow
Federal, State and Local regulations, such as those governing the
disposal of hazardous wastes, OSHA, Right to Know, dealership
policies, etc.
Communicate with and ensure the technicians follow
Warranty and Transportation claim material disposition
procedures.
Report immediately to Body Shop Manager any unsafe
tools, equipment or conditions, which may result in bodily injury or
damage to dealership or customer property.
Other Duties
PRIOR TO DELIVERING VEHICLE TO OWNER:
The Vehicle Damage Appraiser must fill out the final quality
inspection report form. Compare and inspect all work to verify that
the vehicle was repaired as per the estimate directions and that it
meets or exceeds the Goodwrench Auto Body Standards.
The team
manager compares the DMS invoice to ensure a match with the estimate
including any supplement and deductible amounts prior to contacting
your customer to schedule vehicle delivery.
Accurate notes must
be kept on the cover of packet on how all money is to be collected
including amount due from insurance company and customer.
Packet
must include insurance estimate with agreed upon supplement and the
amount being paid, including party responsible for payment and
guarantee to pay signed by insurance company representative for amount
invoiced.
The Vehicle Damage Appraiser then turns repair packet
over to cashier for vehicle delivery.
Qualifications
Must possess a valid PA Estimator's license. Ability to
read and comprehend instructions and information. Working knowledge of
all aspects of vehicle body repairs. Must have valid in-state driver's
license, and determined to be insurable by Dealership's insurance
carrier. Ability to interpret vendor catalogs.
Work
Environment
TheVehicle Damage Appraiser will work at a
desk which is enclosed in the body shop garage. S/he will be exposed
to noise, vibration, paint, dust, exhaust fumes, and other hazardous
and non-hazardous materials. Road-testing of vehicles also may be
required. The Service Advisor will be required to wear a dealership
uniform at all times.
