Job DescriptionArtic Building Services Ltd is an established and recognised leader within the M&E and Facilities Management sector, supported by a solid foundation of varied blue‑chip clients across both the commercial and public domains.
To support this growth, the business requires a Contracts Administrator to operate from our head office in Dartford and administrate recently awarded contracts.
Key Responsibilities / Job Duties- Take daily ownership of paperwork and processes associated with contracts.
- Co‑ordinate, administrate and manage reactive and PPM works in line with strict contract and company performance measures.
- Ensure PPM‑related items (assets, schedules, scope of works, inclusions/exclusions) are managed via our CAFM system.
- Provide dedicated support to the Contract Manager for all contract and works matters, communicating frequent and detailed feedback on works progress or queries.
- Work under pressure to achieve required client and contract service levels.
- Audit all core company and client reports to maintain compliance and ensure smooth invoicing.
- Prioritise and multi‑task to meet strict deadlines.
- Coordinate with engineers and sub‑contractors, ensuring standards of works are maintained and progress or issues are escalated.
- Produce detailed Excel and Word reports.
- Work overtime if required.
- Ensure invoicing of all works is completed within Artic timeframes and fully transparent.
- Serve as focal point for ensuring PPMs are raised with monthly hours tracked, closed with updates checked with the Contract Manager.
- Raise all quotes as per the costing sheet from the Contract Manager.
- Organised and proactive with strong people skills.
- Confident, efficient in Microsoft Word, Excel and Outlook.
- Ability to manage engineers and coordinate complex work streams.
- IT literacy across Microsoft packages, especially Word and Excel.

Job Duties:

- Report any apparent deficiencies in systems of work or equipment provided that may result in failure of service delivery or risk to health and safety or the environment.
- Use all work equipment and personal PPE properly and in accordance with training received.
- Report any issues or training needs to your Line manager and /or via your divisional incident reporting system.

- Proven leadership experience in FM
- Technical qualifications in engineering or building services (e.g. HNC/HND, NVQ Level 4+, or equivalent)
- Strong understanding of health & safety regulations, compliance standards, and asset lifecycle management
- Excellent financial acumen and contract management skills
- Strategic thinker with ability to lead multi‑disciplinary teams
- Exceptional stakeholder management and communication abilities
- Familiarity with CAFM systems and industry best practices
- Degree or equivalent experience in Facilities Management, Engineering, or a related field
- IOSH / NEBOSH certification (preferred)
