You will also act as the key point of contact for Regent’s partnership with innovative co-working brand Huckletree, by leading on the operational delivery of collaborative activity including the Future Founder’s Programme, Business Bootcamp and Entrepreneur-in Residence schemes.To be successful, you should have a background in building online and face-to-face student communities, within a higher education context, as well as experience of delivering training to groups of varying size and knowledge. Role Overview

We are seeking a proactive and highly organized Library Specialist, reporting to the London School Director and Head of Education, to ensure optimal level of library services in terms of spaces, availability of resources, information/consultancy and operational support. The role involves managing the development of the library offer by purchasing materials independently or based on requests and in agreement with the Head of Education, Course Leaders and faculty.

Key Responsibilities
  • Library Management: Ensure the organization and management of library services and areas to guarantee the fruition of materials and online resources by faculty and students. Guarantee accessibility of all services through dedicated signboards, updates of the Library website, service guides and notifications to students and faculty.
  • Library Services: Guarantee access to library resources for students and staff: manage consultation and loan for students and faculty. Train and support them on the use of the catalogue and online resources. Support students in research and consultation.
  • Books and Materials: Ensure and improve the collection, cataloging and disposal of books, magazines, DVDs and dissertations’ materials. Ensure purchase of all library materials requested by Course Leaders and faculty under the supervision of the Director of Education and update subscriptions to specialized periodicals and online resources within the assigned budget. Manage and monitor related purchase orders.
  • Reporting: Prepare reports for quality audits and other relevant accreditation or regulatory requirements regarding the library. Oversee collection of data on usage of library resources and services and produce analysis that informs future decisions and acquisitions.
  • Back office and student services activities.
About You
  • Essential: Bachelor’s degree in a Humanities field; minimum three years’ experience in academic or specialised libraries; excellent organisational and cataloguing skills; experience managing library databases, cataloguing systems and circulation processes; familiarity with acquisition and subscription renewal processes; experience with digital library tools and online resource platforms; knowledge and interest in at least one NABA area of study (Fashion, Design, Visual Arts etc.); strong user‑service orientation; ability to maintain and improve digital and physical collections; competence in preparing internal materials such as signage, notices and service guides; proficiency in library management systems; familiarity with online databases, e‑journals, and digital libraries; good command of Microsoft Office.
  • Desirable: Attention to detail and precision in data entry and cataloguing; ability to collaborate with faculty and staff for academic resource planning; willingness to stay up to date with trends in library technology and user engagement; proactive approach to improving access, usability and visibility of library services, including posting of competitions and research opportunities.
  • Languages: Fluent English (C1/C2 level) written and spoken; additional languages are a plus.

NABA London is currently seeking motivated individuals for the role of Academic Registration and Student Support Specialist. The successful candidate will be based in London and will report directly to the Communication and Student Services Manager. The specialist is responsible for coordinating academic administration and student support services, ensuring effective management of student records, registration processes, academic timetables and institutional procedures. The role serves as a key point of contact for students, faculty and external partners, contributing to an outstanding student experience from enrolment through graduation. The position also oversees reception and front‑office operations.

Responsibilities
  • Student Support
    • Serve as the primary point of contact for students, providing guidance on academic regulations, policies, student services, accommodation and health registration.
    • Manage the student enquiry mailbox, ensuring timely and accurate responses.
    • Coordinate and administer student status changes such as course transfers, interruptions, withdrawals and progressions.
    • Provide administrative support and guidance to students and parents throughout the student lifecycle.
    • Support international students with visa‑related administrative requirements and coordinate with institutional stakeholders.
    • Monitor the creation and completion of class registers for attendance tracking.

  • Assessment and Student Progression
    • Support administration and coordination of internal and external assessment activities.
    • Assist in preparation of Assessment and Progression Boards, collecting records and documentation.
    • Prepare meeting minutes and maintain accurate board records.
    • Communicate assessment timelines and guidelines to academic staff, monitoring compliance.
    • Oversee accurate recording of assessment results in the Student Information System.
    • Coordinate publication of provisional and final grades, ensuring timely communication to students.
  • Administrative Activities
    • Manage student records and ensure accurate transfer of data to relevant institutions.
    • Support HESA collection data and student surveys.
    • Prepare and provide data reports required by institutional stakeholders.
    • Monitor and support student re‑enrolment and progression processes.
    • Participate in Course Panels and related academic governance activities.
  • Reception
    • Act as the main front‑of‑house representative and ensure an excellent experience for all visitors.
    • Provide professional reception service, offering information and directing visitors to appropriate contacts.
    • Coordinate reception activities and manage incoming calls and enquiries.
    • Manage the switchboard and support campus communications.
Qualifications
  • Bachelor’s or Master’s degree (preferred).
  • 3–5 years of experience in academic support, educational administration or coordinating academic activities, preferably in an international or higher education environment.
  • Experience managing timetables, planning and coordinating academic events and activities.
  • Familiarity with academic management systems and administrative practices in the UK or higher education sector.
Skills
  • Strong planning and organisational skills, with the ability to manage timetables and academic resources.
  • Excellent understanding of academic processes in an international context, especially timetabling, student career management and faculty support.
  • Knowledge of student visa processes, National Insurance Number registration and health insurance for international students.
  • Knowledge of UK academic regulations related to attendance and dropout prevention.
  • Good proficiency in Microsoft Excel; knowledge of Hyperplanning tool is a plus.
  • Excellent communication and interpersonal skills, fostering a supportive and collaborative environment.
  • Problem‑solving skills and a customer‑focused approach.
  • Teamwork skills and ability to work closely with other departments.

Language Skills
