Job Purpose:

To support the Information Management team in handling data protection requests, managing subject access requests, and performing general administrative duties. The role requires a strong understanding of data protection principles, including GDPR, and the ability to handle sensitive information securely and efficiently.

Key Responsibilities:

  • Handle Subject Access Requests and ensure compliance with Data Protection regulations.
  • Perform document redaction and manage the printing of sensitive documents.
  • Provide general administrative support , including use of Microsoft Excel, Word, and internal networks.
  • Maintain and organise digital and physical filing systems .
  • Act as the first point of contact for incoming calls, gathering initial information and directing queries appropriately.
  • Log and track requests and documents using internal databases .
  • Liaise with internal staff to obtain and verify necessary documentation.
  • Ensure secure handling and transmission of documents via secure mail .
  • Demonstrate adaptability and a proactive approach to picking up new systems and processes.

Skills and Experience Required:

  • Strong knowledge of Data Protection and GDPR .
  • Proficiency in Microsoft Office (Excel, Word) and familiarity with internal network systems.
  • Excellent organisational and communication skills.
  • Ability to manage sensitive information with discretion and accuracy .
  • Experience in administrative roles and handling customer queries .

Outputs

Development and delivery of deployed SharePoint services and the improvement of processes to support on-going Data Migration initiatives.

Develop and administer the Navy FLC OpNET HUB, create and collapse site collections as required for operations: Single Service Site collection site administrators on the OpNET Hub, provision of new Front Line Command sites for L2/L1 areas, create limited areas and managed access control, provide support to L2/L1 for SharePoint fault resolution, site closure when FLC/unit site no longer required.

Tasking


Build Navy FLC team sites in both the maritime environment and the MMPC to comply with MOD policy, existing SOPs, and maritime site standards.


Troubleshoot IM/IX infrastructure


Provide SharePoint IX support for the afloat IM lifecycle


Act as a focal point for IM and SharePoint related issues for the afloat domain (Remedy process).


Support the migration process for platforms moving between fixed and afloat domain in accordance with the migration strategy.


Remove data from decommissioning vessels and archive to NHB


Maintain an awareness of current CIS technology to develop and advise on new ways of working iaw MOD Information Management Policy.


Maintain OPIM Instructions and SOPs for all business processes with Lessons Identified (LIs).


Support Navy Command with trials, testing and development for ND IS/IM related projects.


Provide IM SME input and feedback on direction to NETOPS DIR


Test content of revised Book of Reference BRd7747 before reissue.


Attend monthly interop working groups.


Respond to Remedy tickets and investigate IM interop issues.


Test changes to software/system versions for impact on IM interop.

Data Managers administrate data repositories for the storage and maintenance of engineering and supplier data. It involves receiving and performing data transfers, validation, change management, reporting and analysis to ensure effective handover of a complete, accurate dataset.

What you will be doing:

As a Data Manager you will be responsible for development and implementation of Class Library and the setup, management, and operation of Engineering Data Warehouse and the operation of interfaces with engineering applications.

You define data management plans for engineering and supplier data delivery across project phases and interfaces. Development and maintenance of project tag numbering schema, class libraries, deliverable production, reporting and data progress measurement.

+ Regularly reviewing and updating privacy and records management policies aligned with relevant data protection laws (e.g., GDPR) to determine impacts to the business.
+ Providing support to ICRM regarding privacy and records management matters.
+ Assist with relevant compliance risk assessments.
+ Preparing reports to disseminate pertinent information to ICRM partners and lines of business to oversee privacy and records management risks.
+ Leveraging data to conduct monitoring to identify potential privacy and records management risks and non-compliance issues and taking appropriate action.
+ Providing credible challenge of existing control environment across businesses and functions aligned with relevant privacy and records laws.
+ Identifying data sources, collating data, and developing and/or enhancing current reporting metrics to demonstrate the oversight of compliance and risks aligned to relevant privacy and records laws.
+ Monitoring adherence to Citi's Compliance Risk Policies and measuring compliance risk through a robust control framework and ensuring that reviews are conducted consistently across each entity on a regular basis to confirm that controls identified are operating effectively.
+ Performing analyses of comparative data, preparing and presenting regional and global reports related to compliance risk assessments, and monitoring of compliance related issues.
+ Partnering, collaborating and working with other areas within Citi, as necessary.
+ Keeping abreast of regulatory changes, new regulations and internal policy changes in order to further identify new key risk areas.

**Qualifications:**
+ Substantial relevant experience
+ Compliance, risk, privacy or records experience is an advantage
+ Expertise of Privacy and Data Compliance risks and typologies
+ Good understanding of data privacy and records laws and regulations including GDPR et al
+ Strong analytical skills to assess privacy and records risks and to develop mitigation strategies
+ Advanced Microsoft Office skills, including Excel, PowerPoint, and Word
+ Knowledge of banking products and services etc.

KBR is looking for a Principal Information Management Specialist - 3D CAD (SMARTPLANT S3D) to work in our Leatherhead office.

Under broad direction, oversees and performs the full range of activities associated with 3D CAD coordination, management, and system administration activities.

Manage system set-up, admin and maintenance. Ensure the project specified deliverables can be produced from the model and that the content complies with the Company and client standards and conventions. Co-ordinate with Engineering Systems support for the prompt resolution of CAD application issues.

Develop and implement the 3D CAD management plan incorporating project and contractual requirements. Develop specifications and procedures. Provide 3D model management processes and support the development of the 3D Multi-discipline SMARTPLANT S3D model.

Responsibilities include the management of the SMARTPLANT S3D 3D model, global working, system administration, user support and clash management. Provide multi-discipline CAD coordination and user support.

Job Roles:
  • Accountable for the creation and implementation of CAD Management policies, plans, specifications, and procedures including naming convention, hierarchy conventions, attributes/data content and ensuring compliance.
  • Develop 3D model hierarchy and naming conventions to align with Project requirements.
  • 3D CAD Execution plan.
  • Responsible for the development of detailed work instructions and job notes.
  • Accountable for the success of CAD Management activities and deliverables in accordance with agreed schedules, focused on achieving project goals and objectives.
  • Establish, maintain, and improve of CAD Management processes, systems and tools to aid efficiency and effectiveness.
  • Communicate regularly with multi office CAD teams by use of regular coordination meetings, briefing sessions to share knowledge, best practices and lessons learned.
  • Support and ensures the correct deployment and utilization of CAD Management systems.
  • Development of discipline 2D deliverables from SMARTPLANT S3D
  • Generation of regular project Review models.
  • Incorporation of supplier 3D model for space reservation and clash detection.
  • Generation of project 3D visualisation images, using Navisworks.
  • Manage software problems and reporting to KBR Service desk
  • Support introduction and upgrade of software/application versions
  • Desktop support/troubleshooting of SMARTPLANT 3D applications
  • Interface with IM Data management to provide 3D model progress measurement and coordinated 2D and 3D data flow
  • Support 3D model object engineering and model status reporting.
  • Clash management and reporting.

Experience/Technical Skills
  • a relevant number of years' 3D CAD management experience in Oil & Gas Projects or large Engineering Project is required.
  • System setup, configuration, global workshare, administration, and user support.
  • Preparation of Catalogues and specifications.
  • Degree qualification or equivalent oil and gas industry experience.
  • Experience of 2D CAD system admin (advantage).
  • SMARTPLANT S3D global management and global working methodology.
  • SMARTPLANT S3D or Discipline Design experience for a relevant number of years.
  • PL expressions/programming (an advantage).
  • Deliverable/drawing setup, and configuration and production support.
  • Isometric production.
  • SMARTPLANT Review / Navisworks and model review coordination.
