We’re looking for a *proactive and organised* Event Manager to join our growing Education team in Leeds. You'll take the lead in *planning and delivering *a variety of events - in-person and online- ensuring each one runs *seamlessly,* leaves a *lasting impression* and is *world-class*. *DUTIES AND RESPONSIBILITIES*
As Aspire Education's Event Manager, you will be responsible for the planning, delivery and evaluation of all Aspire Educations events, including in-person, virtual and overseas.
*Continuously* looking for ways to improve our events, both in-person, virtual and overseas
*Develop* proposals, manage budgets, and timelines for internal and external stakeholders
*Source venues*, negotiate with suppliers, and manage bookings
*Oversee logistics*, including catering, travel, AV, guest lists, and accommodation
*Be on-site for events* (UK) to manage delivery and staff coordination
*Carry out risk assessments* and ensure all events meet health & safety requirements
*Manage post-event reporting*, data analysis, and feedback collection
*Work closely *with Marketing, Sales, and other departments to ensure event alignment with business goals
*Manage CRM *communications to maximise attendance and engagement
*Support online event facilitation *and related admin when required
*WHAT WE’RE LOOKING FOR *
*The Must-haves: *
3+ years in event management, in-person and virtual (e.g. full day events, retreats and webinars).A degree in Events, Marketing, Communications, Hospitality, or related (or equivalent experience)
Strong vendor management and budget control skills
Excellent organisation and multitasking ability under pressure
Confident communicator and natural collaboration
Proficiency with tools like MS Office, Salesforce, or ActiveCampaign
Flexibility to work evenings/weekends during events and travel as needed
*The Nice-to-haves:*
Certified Meeting Planner (CMP) or similar qualification
Experience of remotely coordinating overseas eventsFamiliarity with online educators/coaching and virtual events (eg Tony Robbins)

About the Role
As Events Manager, you will be responsible for the end-to-end planning, coordination and delivery of approximately 30 scientific events per year. These include hybrid, virtual and in-person formats hosted at central London venues and UK residential locations. Working with scientists and internal teams, you will ensure every event runs seamlessly - from speaker coordination and programme design to logistics, evaluation and budget management.
Responsibilities
Lead on the planning and delivery of a portfolio of scientific events and meetings
Develop and manage timelines, budgets, logistics, and communications for each event
Liaise with internal teams, speakers, suppliers, and stakeholders to ensure smooth delivery
Coordinate venue bookings, AV, catering, travel and delegate communications
Ensure flexibility across delivery formats (in-person, virtual, hybrid)
Maintain accurate CRM and registration records
Draft briefings, reports, and planning documentation
Support continuous improvement through event evaluation and feedback
Represent the organisation on-site or online at events (including some evening and weekend work)
Person Specification
Essential:
Proven experience in end-to-end delivery of complex, high-profile events
Excellent project management and organisational skills
Strong interpersonal skills with the ability to build positive relationships with stakeholders
High attention to detail, ability to multitask and prioritise under pressure
Effective written and verbal communication skills
Confident using Microsoft Office Suite, Microsoft Teams, and content management systems
Budget management experience
Flexible approach to working hours and travel
Desirable:
Understanding of scientific or academic environments
Experience working with CRM systems and evaluating events
