The Quality Assurance Associate QA Associate job itself where you will be working in a QA team of 3 and reporting to the QA Manager engaging with departments across the organisation.
You will be responsible for the day-to-day management of quality-related activities, including excursions, supplier and customer qualifications, deviations, CAPAs, change controls, and risk mitigation efforts. This role requires close collaboration with the Responsible Person (RP/RPi) and other departments across the business. More specifically:
- Support the QA Manager in executing assigned Quality Assurance (QA) responsibilities. li>Ensure all planned, scheduled, and unplanned QA activities are carried out, documented, and reported in accordance with company procedures.
- Assist in the management and continuous improvement of the company’s Quality Management System (QMS). < i>Promote and embed continuous improvement principles across QA processes and documentation.
Quality Management System
- Maintain and regularly update the Training Matrix and Schedule, coordinating with department managers and QA to ensure all training is current and compliant. li>Monitor and manage the Document Control Log, ensuring accurate tracking of all controlled documents.
- Oversee the lifecycle of quality documents (SOPs, Work Instructions, Forms, Policies, etc.), from training and implementation to archiving and secure storage.
- Provide administrative support to the QA Department
- Assist in the planning and preparation for internal and external audits and inspections.
Change Control, CAPA, and Deviation Management
- Track, update, and support the implementation of Corrective and Preventive Actions (CAPAs).
- Collaborate with cross-functional teams to ensure timely execution and compliance with procedures related to change controls, deviations, complaints, and internal GDP audit follow-ups.
- Assist in the investigation and documentation of quality incidents.
Qualification and Compliance Monitoring
- Conduct regular compliance checks using MHRA and other regulatory resources.
- Shadow / support internal compliance audits to ensure adherence to GDP and company standards.
- Carry out monthly compliance checks on import/export processes.
- Support the retrieval, review, and closure of temperature monitoring reports.
- Assist departments in conducting customer and supplier bona fide checks.
Staff Training Administration
- Administer competency assessments linked to SOP training.
- Notify relevant staff of upcoming or overdue competency tests, referencing the training matrix.
- Receive tests and maintain accurate training records.
- Inform line managers of any non-compliance, including failed assessments or missed deadlines.
Quality Risk Management
- Support Quality Risk Management and route qualification activities.
- Understand and support validation activities.
You will have
To be successful as Quality Assurance Associate QA you will bring proven experience in Good Distribution Practice (GDP) quality systems, SOP development, temperature excursion handling, and KPI management. Plus a healthy mix of the following
- li>Experience in utilising quality system processes (such as, Audit, Deviations, CAPA, Change Control)
- Excellent administrative and people skills
- Strong communication skills, with excellent English language skills, (oral and written)
- A good team player demonstrating a willingness to learn, improve and adapt
- Strong analytical and problem solving skills, with experience of route cause analysis
- Possess the ability to work productively and diligently, with initiative and drive, under tight timescales and pressure whilst maintaining high-quality standards

Responsibilities
- Support and advice on all aspects of quality within Manufacturing UK; apply quality expertise to critical business issues to support business excellence, continuous improvement and customer satisfaction.
- Provide quality assurance assistance to Manufacturing UK in support of manufacturing excellence. Including development and delivery of quality awareness and other training.
- Supporting Manufacturing UK on all programmes to achieve cost, time and quality targets.
- Provide appropriate level of support to improve the effectivity of processes within the Company Business Management System and ensure they are correctly tailored for Manufacturing UK.
- Confirm through a programme of independent assessments and audits that processes and quality requirements are being successfully implemented, applied and improved. Provide reports to Management that identifies the outcome of audits and issues. Monitor and facilitate the progression of any improvements from audit activities and the timely closure of identified issues.
- Maintaining strong links with Quality Assurance colleagues across sites across UK and overseas to enable the dissemination and achievement of Quality Objectives within Manufacturing UK.
- Work with Quality Assurance Managers and other functions to define appropriate risk reduction strategies/action plans
- Facilitation and/or support to various levels of Non-Conformance Review Panels
- Analysis of non-conformance defect data and acting on this data to undertake problem solving investigations identifying defect root cause and corrective action implementation
Essential Requirements
- Ideally qualified to minimum HNC/HND in relevant subject.
- Quality professional, experienced in process-based integrated management systems & business improvement in an engineering / manufacturing environment.
- Experience using both risk management and practical problem solving tools e.g. 8D, 5Y, PFMEA etc.
- Good working knowledge of Microsoft Office packages (PowerPoint, Word and Excel)
- Quality Auditing experience
- Knowledge and experience of International standards such as EN9100/AS9100, AS9102, AS9145, AS9146, etc.
- Excellent interpersonal skills, good planning and organising skills to ensure multiple tasks are prioritised and monitored to deliver set objectives
- Capability to identify sustainable business improvements & ensure effective implementation
- Recognise and understand internal and external customer requirements, and respond to them
- Ability to communicate and influence effectively at all levels of the organisation
- Highly self-motivated and demonstrate a determination and persistence to deliver results despite obstacles and setbacks

+ Hold either a Part 66 License, Diploma or recognised aviation qualification/s.
+ Hold a recognised Lead Auditor or Internal Auditor certification.
+ Knowledge of general aviation legislation (EASA, CAA, etc.) and quality systems (ISO9001/AS9100).
+ Knowledge of ICAO Safety Management System (SMS).
+ Well verse in Microsoft programs (Words, Excel, Power-point, etc.)

- Ensure training programmes reflect current regulatory and quality practices.
Skills & Experience
- Proven leadership in QARA within medical devices or regulated industries.
- Strong engineering background
- Experience with CE marking, Medical Device Requirements, both EU and UK, regulatory submissions, electrical safety requirements, software validation, and international compliance.
- Excellent communication and stakeholder engagement skills.
- Familiarity with electronic QMS and project management tools.
Desirable Qualifications
- Degree in Engineering, Life Sciences, or related field (Master's preferred).
- Experience working directly with regulatory bodies.
- Lead Auditor Certification
