Are you highly organised, proactive, and passionate about delivering great customer service? We're looking for a Scheduling Coordinator to keep our busy Service Team running like clockwork. If you thrive in a fast-paced environment and have a talent for logistics, this could be the perfect role for you.
What You'll Be Doing:
- Managing and coordinating field engineer schedules across the UK & Ireland
- Booking customer visits for maintenance, repairs, site evaluations, and breakdowns
- Communicating with customers to arrange and confirm appointments
- Creating job records in SAP and other scheduling systems
- Preparing quotes for parts and labour, and overseeing repair jobs from start to finish
- Tracking warranty claims and maintaining calibration/tool registers
- Keeping vehicle records, safety cards, and induction documents up to date
- Participating in weekly planning meetings and supporting with general admin tasks
What You'll Bring:
- Strong organisational and planning skills
- Ability to stay calm under pressure and meet tight deadlines
- Clear and confident communication, especially over the phone
- A customer-first mindset with a positive, can-do attitude
- Solid IT skills - Microsoft Office is essential; SAP/Protean experience is a bonus
- A collaborative team spirit, with the ability to work independently
- Familiarity with health & safety procedures and logistics in the UK & Ireland is a plus

Clymac’s Scheduling Coordinators
Efficiently and profitably schedule and dispatch Service & Maintenance Engineers on behalf of Clymac to complete corrective and preventative maintenance visits in line with customer requirements and industry standards. Requires excellent customer service skills with excellent attention to detail and the ability to work well under pressure. The role requires a proactive approach and excellent personal interaction.
- Scheduling of all work within your region in line with Service Level Agreements (SLA’s).
- Proactively monitor engineer’s activity to ensure that you touch base with all your engineers’ daily, ensuring early dispatch & attendance of first job & monitor throughout the day to ensure job completion.
- Build and maintain good working relationships with your Engineers, to ensure all calls are actioned accordingly
- Work closely with your manager to meet customer expectations.
- Taking ownership of each job from start to completion
- Liaise with key clients over the phone to enhance both internal & external working relationships
- Retrieve all phone and email messages and process accordingly within Service Level Agreements (SLA).
- Processing of orders to ensure all work is carried out in time to allow invoice to be created.

My client based in Maidstone is looking to recruit a Scheduling Manager into their skilled team of reactive and planned schedulers. You will be managing the small team day to day, delegating work and monitoring issues that arise, handling escalations and acting as a right hand to the senior management team.
Day to day of the Scheduling Manager:
- Manage a small team, ensuring the team knows their workload for the day and monitoring KPI's.
- Getting stuck in with your team by coordinating and scheduling workings on a reactive and planned maintenance route.
- Liaising with field engineers, clients and the wider operations team.
- Monitoring scheduled works, ensuring they run smoothly but also reschedule based on changes, escalations or staff availability.
- Optimise engineers routes, ensuring they are spending more time on site than driving.
- Updating the internal and external systems as required with accurate information.
- Monitoring processes and Implementing new ones if necessary.
Requirements of the Scheduling Manager:
- Experience of managing reactive and planned works within a construction, engineering, plumbing/ utilities or reactive setting.
- Experience of scheduling works in the drainage industry is desirable.
- Experience of managing a small team, acting as a go to individual.
- Working well under pressure and using your initiative if escalations arise.
- Confident individual.
- Wants to improve processes.
