Key Responsibilities

Using Electronic Compliance Agreement Tracking System to submit, store and update all legal agreements and obtain mandatory deliverables
Facilitating any customer related payment queries and field to correct team to resolve
Booking stand space and organising marketing material / literature / equipment for Exhibitions with the support of the Internal Operations Support team
Liaising with the Events and Learning Management Team to ensure valid HCP contracts are in place for Medtronic Organised Events
Data managing including updating and maintenance of databases and shared therapy information and files in the Business Support folder
Assisting with customer enquiries
Attending District Meetings to meet with the field and share best practices
Working hybrid (2 days from office). Some travel may be required both within the UK and internationally



**Required Knowledge and Experience:**


A good standard of general education, commercial awareness and professionalism
Highly computer literate knowledge of Microsoft Office, especially Word and Excel

We are excited to be recruiting for an Admin Assistant to join a prestigious asset management company based in London. This is an excellent opportunity for a detail-oriented and process-driven individual to contribute to a dynamic and professional team.

In this role, you will play a key part in supporting the department's operations, with a strong focus on invoicing and systems administration. Although this initially a 3-month fixed term role there is potential that it will be extended.

Job Responsibilities:

* Provide administrative support to the Student Housing Asset Management team.

* Use eForms (or any other relevant internal systems) to seek approvals for processing of invoice payments.

* Assist with invoice processing and smaller projects to deliver improved performance of the assets

Key Competencies:

Essential

* Ability to communicate effectively (both oral and written) at all levels across the company

* An analytical approach to work performed

* High attention to detail

* Ability to seek understanding and provide challenge where necessary

* Able to work under pressure and deliver to timetable, dealing with competing and changing priorities

* Cope well under pressure, be assertive when required

Desirable

* Personable individual, able to communicate at all levels, both internal and external, in a clear and articulate manner

* Flexibility in approach to managing own workload

* Show initiative

Job Requirements:

Essential

* Minimum of two (2) years' experience in a similar administrative role

* Excellent command of both spoken and written English

* Excellent organisational skills, a solution-oriented approach and an ability to maintain calm under pressure

* High attention to detail, numerate and with strong analytical skills

* High level of proficiency in MS Outlook, Word, PowerPoint, Excel, Teams and SharePoint

Desirable

* Experience with SAP is advantageous

* Experience in invoice processing is highly advantageous

* Experience in the real estate/property is highly advantageous

* Experience with Entrara property management software

**Job Overview:**
The Administrative Assistant has established strong organizational, multitasking, attention to detail, and interpersonal skills to perform a range of day-to-day activities. They can recognize and solve typical General Services problems with limited supervisory approval. They are tasked with evaluating and selecting solutions from established options. Their work directly impacts their team through the quality of the services or information provided.
This position requires office attendance on a daily basis, 5 days a week, from 08:00 to 16:00.
**Key Tasks and Responsibilities:**
+ Perform a variety of research functions and use computer programs to produce reports, spreadsheets, and presentations
+ Type and proofread documents, correspondence, and forms
+ Carry out varied assigned tasks requiring knowledge of office protocol, demonstrating an understanding of the organization, policy programs, and procedures related to the work of the office
+ Coordinate and set up meetings and conferences
+ Arrange travel and work on special projects
+ Maintain the schedule of one (1) or more individuals
+ Set up and maintain manual and electronic filing systems
+ Answer the telephone, take, and relay messages, and address routine and non-critical issues or routes to the appropriate person
+ Coordinate and process general administrative work such as time sheets, vacation requests, supply requisitions, etc
+ Photocopy, fax, and scan documents as required
+ Assure of effective mail and package distribution
+ Assist employees and managers with general administrative requests
+ Handle visitors (meet and brief) to the office, and escort to their destination
**Essential Qualifications and Education:**
+ High school diploma or equivalent
+ Experience of working in an administrative assistant role, preferably in a large corporation desirable, but not essential
+ Advanced knowledge of MS Office and other related software skills required; Advanced skills in operating a personal computer, various printers, scanners, and other office equipment are necessary
+ Excellent communication skills, both written and verbal
+ Able to read and comprehend instructions, and write correspondence and memos
+ Able to effectively present information to co-workers and the public
+ Strong organizational, multitasking, attention to detail, and interpersonal skills
+ Able to work well with all levels of internal management and staff as well as clients
