Are you a passionate Trials and Funding Administrator looking to make a real impact by giving a voice to those without speech? Our client is looking for a dedicated individual like you to join their team and contribute to enhancing the lives of people with disabilities.

Your Impact:

As their Trials and Funding Administrator, you will:

  • Qualify, assess, and triage all incoming trial requests.
  • Liaise with AT Specialists for pre-qualification when necessary (e.g., new or uncertain clients).
  • Send triage emails for various product requests (e.g., Windows vs iPad).
  • Allocate trials independently or in coordination with AT Specialist schedules.
  • Book face-to-face or virtual set-ups in collaboration with the Sales Coordinator and teams' diaries.
  • Ensure all correspondence is accurately tracked in the CRM using the correct process.
  • Continued support to clients where needed, including funding guidance and signposting.
  • Maintain professional email and phone communication standards.
  • Assist with booking and monitor client collections, updating records daily.
  • Work closely with the Trials Coordinator to align device availability with upcoming schedules.
  • Conduct quarterly stock takes with the Trials Coordinator, assisting with stock returns and allocations.
  • Provide cover for the Trials Coordinator during annual leave (training will be provided).
  • Answering customer calls to the main phoneline, redirecting to other teams where necessary, and covering other teams’ extensions when needed.
  • Monitor shared email mailboxes and voicemails.
  • Work closely with the AT Specialists on industry knowledge, creating shared resources, and supporting funding enquiries.
  • Maintain internal knowledge base for UK and Ireland funding sources.
  • Support coordinating internal events for the UK and Ireland Sales and Marketing teams.

Essential Qualifications/skills/experience:

  • Exceptional multitasking and organisational skills.
  • Strong teamwork and collaboration across departments.
  • Ability to perform under pressure and manage high-priority cases.
  • Proactive in identifying and suggesting process improvements.
  • Professional email etiquette and confident phone manner.
  • Use of Microsoft suite is essential.
  • Quick thinking and adaptability in dynamic situations.

Thank you very much for your interest in our clients Fees Manager role. The team has a wide-ranging remit, working closely with a range of stakeholders within the College. This offers a great opportunity for the applicant to be part of a committed team and have demonstrable team skills to build effective and supportive relationships with colleagues.

You will work closely with, and report to, the Financial Controller. You will manage all aspects of pupil billing and fee collection, ensuring accurate invoicing, timely payments, and effective communication with parents and guardians. The Fees Manager plays a key role in supporting the financial sustainability of the school and maintaining positive relationships with stakeholders.

Fee Billing & Invoicing

• Prepare and issue termly fee invoices and ad hoc charges (e.g. trips, music lessons).
• Maintain accurate records of pupil accounts and billing information.
• Liaise with Admissions to ensure correct pupil data.
• Prepare bills for advance payment of fees and annual fees.

Credit Control

• Monitor outstanding balances and follow up on overdue accounts.
• Implement and manage payment plans where appropriate.
• Escalate serious arrears to the Financial Controller and Senior Finance and Operations Director and support legal recovery processes if needed.

Parent Customer Service and Communication

• Respond to parent queries regarding invoices, payment plans, and account statements in a professional and timely manner.
• Advise parents on payment options and help resolve any disputes regarding fees.
• Provide support to the school leadership on sensitive fee-related matters, including hardship cases or fee reductions.

Bursary Administration

• Administer the full bursary lifecycle: application, assessment, award, review, and renewal.
• Liaise with families to support bursary applications, ensuring confidentiality and empathy throughout the process.
• Prepare recommendations for bursary awards for review by the Bursary Committee.

Systems & Reporting

• Maintain and update the school's finance system (Accounts IQ) and the school's MIS (iSAMS).
• Produce regular reports on fee income, aged debtors, and forecasts.
• Maintain records of awards and remissions given to pupils.
• Reconciliation of fees in iSAMS to accounts system on a termly basis.
• Support the annual audit and provide documentation as required.

Compliance & Governance

• Ensure compliance with school policies, data protection regulations, and financial procedures.
• Review processes and Improve efficiency.

This role is ideal for someone with experience using Sage accounting software  excellent attention to detail, flexibility and happy to work as a team member, playing a key role in ensuring the accuracy and efficiency of our Finance Department. This role does require a DBS which will be provided by the company.


Key Responsibilities:

  • Maintain and update Customer records in Excel.
  • Work alongside the current Finance Assistants to process purchase invoices, credit notes, and expense claims using Sage 50.
  • Assist in the preparation and distribution of Termly Sales Invoices.
  • Produce Sales Invoices and process purchase invoices for Other Products/Services within the Organisation.
  • Provide general administrative support to the Finance Manager
  • Maintain confidentiality and integrity of financial data.


Required Skills & Qualifications:

  • Experience using Sage accounting software (e.g. Sage 50,Sage Cloud)
  • Good working knowledge of Microsoft Excel and other MS Office applications
  • High level of accuracy and attention to detail
  • Strong organisational skills
  • Ability to work independently and collaboratively
  • Excellent verbal and written communication skills
