Purpose of the Role
The Administration Assistant will be responsible for undertaking day to day Administration functions in relation the administration of their assigned department.
Key Duties and Responsibilities
A) Undertake assigned administrative work and activities through to completion, dealing with problems that arise and changes to requirements or timings, meeting set deadlines.
B) Act as the first point of contact for the department, providing advice and guidance to a developed level, appropriately dealing with callers in person, by telephone and email and ensuring high levels of customer relations. The post holder will answer queries in line with policy or guidelines and direct more complex matters to the appropriate avenues as required.
C) Deal with enquiries from members of the public by telephone, e-mail and face to face
D) To respond with courtesy, understanding and sensitivity to a wide range of queries received across all channels. Undertake office-based administration including receiving and dispatching post, photocopying, scanning, filing and indexing
E) Ensure the Council's policies and procedures are adhered to in terms of internal and external correspondence.
F) Undertake IT related functions to update and maintain customer records across a range of services using a number of different systems, processing different applications received by each of the different departments
G) Action and ensure the Council policies and procedures are followed relating to complaints received by the department manager.
