You will be responsible for managing complex calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and acting as a primary point of contact for internal and external stakeholders. The ideal candidate will have a proven history of supporting senior leadership, excellent communication abilities, and a strong command of office software. Key Responsibilities:
- Manage and prioritise complex calendars for senior executives, including scheduling meetings, appointments, and conference calls across different time zones.
- Coordinate domestic and international travel arrangements, including flights, accommodation, and ground transportation, and prepare detailed itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents with accuracy and speed.
- Act as a gatekeeper and first point of contact for executives, screening calls, emails, and visitors, and resolving issues efficiently.
- Organise and prepare materials for board meetings, executive committee meetings, and other critical engagements.
- Manage confidential information with the utmost discretion and integrity.
- Conduct research and gather information as needed to support executive decision-making.
- Oversee expense reporting and budget tracking for assigned executives.
- Develop and maintain efficient filing systems, both physical and digital.
- Proactively identify and anticipate the needs of the executives supported.
- Liaise with other departments and external partners to facilitate smooth operations.
- Provide general administrative support, including data entry, document management, and correspondence.
Qualifications:
- Proven experience as an Executive Assistant, Senior Administrator, or similar role, preferably supporting C-suite executives.
- Exceptional organisational and time-management skills, with the ability to multitask and prioritise effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
- Excellent written and verbal communication skills.
- High level of professionalism, discretion, and a proactive approach to problem-solving.
- Ability to work independently with minimal supervision in a remote setting.
- Strong attention to detail and accuracy.
- Experience with international travel coordination and expense management is a plus.
- Familiarity with project management principles is advantageous.
