Job spec:
Executive Administrative support: 1. Be the principal point of contact for Executive Dean(s), providing a professional interface between them and key internal and external contacts; dealing promptly and appropriately with all matters that are referred to them and using sound judgement and initiative when responding. 2. Ensure proactive and sensitive diary management; arranging internal and external meetings involving a wide range of stakeholders, ensuring optimal availability of Executive Dean(s). 3. Provide effective support at College meetings and committees including preparation of agendas, minutes, and other papers as necessary; ensure committee papers are made available to committee members in advance of the meeting; maintaining SharePoint committee site for designated College committees. 4. Ensure that the Executive Dean(s)has access to the necessary briefings, papers, and information in advance of any meetings; co-ordinate and book travel arrangements and prepare full itineraries as required.
Provide high level administrative support including drafting letters/emails, data collation, presentation preparation and proof reading/formatting when required. 7. Research and collate information, using a variety of resources, to support the work of the Executive Dean(s). 8. Manage projects delegated by the Executive Dean(s), ensuring completion in an efficient and timely manner. 9. Manage HR and Finance related tasks, ensuring accurate data to systems and liaison with Central Directorates as appropriate. Utilise appropriate IT systems, including CHIME, Sharepoint, E-recruiter. 10. Provide College level organisational support for high profile events such as away days, VIP visits, and Graduation. 11. Use CHIME to raise purchase orders and invoices.
Communication: 13. Act as a key communication link between the Executive Dean(s), Deputy Dean/Vice and Associate Deans and senior staff within the College, the wider University and key contacts outside of the University. 14. Work with the other College PAs to ensure that cover arrangements are in place to support the College Executive in the case of absences and peak periods, achieving a commitment to the highest level of customer service at all times. 15. Within the vicinity of the Vice Chancellors Office, support the Executive Assistants, providing telephone cover and ad hoc duties where required.
University Undergraduate Degree or Candidates without a first degree should be able to demonstrate transferable skills - such as analytical, interpersonal, problem-solving and self-management skills - at an appropriate level Evidence of relevant professional experience and ongoing development E E Experience Relevant experience of providing high level EA support to a senior role including: - Co-ordinating work schedule and flow of information - Effective diary management - Dealing with confidential and sensitive information - Dealing with high profile visitors to the University - Planning and progressing work activities within professional guidelines and organisational policy, using initiative and independent judgement Experience of servicing committees and meetings Experience of working in Higher Education Sector or other regulated and complex organisation.
