Clinic Administrator
Contract: Permanent, Full-time (37.5 hours per week), Monday to Friday from 8.30am - 4.30pm
Salary: £27,000 per annum
Location: Oxford
As a Clinic Administrator based on site in Oxford, you will be responsible for supporting the smooth and efficient running of the on-site clinical suite, acting as the key point of contact for both employees and clinicians.
From booking appointments and preparing paperwork, to greeting visitors and answering calls, you'll help make sure the day-to-day admin side of the clinic is well organised and welcoming.
You’ll support clinicians by making sure they have the right documents and supplies, upload records to our internal systems, and keep on top of general admin tasks to help the clinic run efficiently. You’ll also be the friendly first point of contact for employees attending the clinic, creating a calm and professional atmosphere.

Requirements For This Role
Essential:
- A minimum of 2 years Office experience
- Previous experience of dealing with clients and customers
- Offer flexibility in working pattern as required
- Time and Diary Management – must be able to manage own time < i>Demonstrable experience of effective internal and external stakeholder relationships
- Knowledge of Outlook, Word and Excel
Desirable:
- A minimum of 2 years Reception experience

This is an exciting and varied role within a dynamic multi-country team working with PET (Positron Emission Tomography) products, such as FASTlab cassettes. In this role, you will be leading the setup of new products in our distribution centers within the FASTlab cassette portfolio and will be part of a high energy Supply Chain Team working together with suppliers and contract manufacturers (CMOs) to deliver a range of critical healthcare products to our customers around the globe. The successful candidate will need to be proactive, open minded, flexible, self-driven with a proven track record of problem-solving and strong teamwork.
**Job Description**
**Responsibilities** **:**
+ Leads the implementation of the material setup process for products within the PET Consumables portfolio in our distribution centers
+ Lifecycle materials management for the PET Consumables Portfolio including supporting change management, impact assessments and risk management.
+ Lead material supply, inventory and stock level optimization for PET Consumables
+ Lead supplier and part risk reduction projects to improve the part quality and increase supply resilience.
+ Develops and implements strategies to optimize the new material setup processes
+ Collaborates with cross-functional teams, including R&D, QA, logistics and supply chain, to ensure seamless setup operations
+ Evaluates, generates and translates ideas into achievable projects leading to productivity and simplification gains
+ Leads troubleshooting and problem-solving activities, implementing corrective actions as needed
**Qualifications and Requirements:**
+ Minimum bachelor's degree in supply chain management, pharmaceutical sciences, materials management, logistics and distribution, or a related field or equivalent
+ Strong experience in supply chain management, logistics and/or distribution
+ Experience working within pharmaceutical sector strongly preferred
+ Proven experience in material setup, inventory management, or a similar role within a distribution or manufacturing environment
+ Experience in leading projects and implementing process improvements
+ Strong problem-solving skills and experience in process optimization
+ A high degree of autonomy is necessary, as the role might be geographically separated from the hiring manager and other team members
+ Excellent verbal and written communication skills to collaborate with various teams and present ideas clearly.
+ Experience working within logistics and distribution
+ Proficiency in ERP systems (e.g., SAP)
+ Ability to work in a fast-paced, dynamic environment
+ Driver: proactive, makes things happen and can ensure that supporting documentation is in place to support justifications
+ Detail-Oriented: Keen attention to detail to ensure accuracy in material setup and implementation.
