Description

My client is currently recruiting for a Compliance Specialist within the Quality Department to join an experienced and committed team. A global manufacture of makeup, fragrance and skin care.

The successful candidate will be responsible for implementing policies, procedures and standards at a site to ensure compliance with regulatory and corporate requirements. This includes management of GMP document control systems, development of annual product review reports, administration of the compliant program, supporting site audits and development & delivery of GMP trainings.

Requirements

• Experience in a regulated industry is required, cosmetic or pharmaceutical experience a plus.
• Experience with improving Quality Systems required
• Experience with authorizing and maintaining procedures and work instructions is required
• Knowledge of compliance, related to all applicable Quality Systems Standards national and international, is required
• Creative individual with excellent trouble shooting skills
• Strong oral and written communication skills with ability to appropriately communicate information to cross functional stakeholders
• Ability to work in a team setting and independently under minimal supervision
• Ability to work in fast paced environment supporting the quality assurance/quality control departments
• Proficiency in Microsoft Office Suite, Electronic QMS, e-training systems and SAP systems is preferred

Key Roles & Responsibilities

• Implement and ensure adherence to policies, procedures and standards site wide
• Maintain knowledge and understanding of applicable GMP regulations, regulatory agency guidelines, industry association guidelines, Corporate requirements and best practices
• Conduct Internal audits ensuring actions are documented, addressed and tracked appropriately

• Veeva Quality One (EQMS) Quality role - reviews / approvals for CAPA, Deviations / INC / INV & Change controls

• OpenText (Document management system) review / approval / system Admin

• General QMS oversight driving continuous improvement across all departments against defined KPIs
• Identify other areas for CI utilising audit results / trends and observations
• Quality risk assessment programme implementation
• Validation protocols Quality role - review / approval
• Global Compliance team liaison / site representation
• Annual Product Reviews

Characteristics of a successful candidate:

Experience in a regulated industry is required, cosmetic and pharmaceutical experience a plus

• Ensure effective management of approved suppliers
• Manage the relationship with relevant third parties including auditors and certification bodies
• Ensure all operational procedures and processes are reviewed and updated
• Promote awareness of ISO compliance throughout the organisation
• Highlighting any relevant changes to legislation that may affect the effective management of the IMS
• Completion of internal audits throughout the organisation

• Experience of compliance management systems
• Understanding of ISO accreditations, specifically ISO9001, 45001 & 27001
• Ability to explain compliance matters to colleagues at all levels of the organisation
• Root cause identification
• Demonstrable experience of conducting compliance audits

We are recruiting for a compliance specialist to lead on property compliance. Including the following areas-

• Fire Safety Compliance:

  • Oversee and monitor fire risk assessments, ensuring timely completion and remedial action tracking.

  • Liaise with contractors and internal teams to ensure fire safety systems (alarms, extinguishers, emergency lighting) are maintained in line with statutory requirements.

  • Stay up to date with relevant legislation, including the Fire Safety Act and Building Safety Act.

• Cyclical Electrics:

  • Manage the periodic inspection and testing of electrical installations (EICRs), ensuring full certification and compliance.

  • Review electrical reports, prioritise actions, and work with maintenance teams to resolve issues.

• LOLER Compliance:

  • Coordinate inspections and servicing of lifting equipment, including stair lifts, hoists, and passenger lifts.

  • Maintain accurate records and ensure defects are rectified within required time frames.

  • Work with lift service providers to ensure contracts meet LOLER requirements.

• Develop and maintain robust compliance reporting systems.

• Support audits, both internal and external, ensuring full transparency and accuracy of compliance data.

• Provide expert advice to colleagues and stakeholders regarding safety obligations and best practices.

What You'll Be Doing

Customs Compliance & Classification

• Develop and implement global customs compliance processes.
• Deliver in-person training on customs topics to various teams.
• Accurately classify products using Harmonised Tariff Schedule (HTS) codes.
• Review and classify inbound shipments for accurate customs declarations.
• Record and track packaging data for UK Extended Producer Responsibility (EPR) reporting.
• Obtain Type Approval Certificates and other regulatory clearances.
• Ensure compliance with UK and international customs requirements.
• Create standard operating procedures for customs brokers and third-party logistics providers.
• Manage temporary shipments to avoid double duty payments.

Import & Export Coordination

• Liaise with customs brokers in the UK and Kenya to ensure correct importation procedures and documentation.
• Coordinate with export teams to secure all necessary licences and clearances.

Financial Reconciliation

• Work with finance and tax teams to reconcile quoted duties with actual payments.
• Validate purchase orders related to duty and customs payments.

Licence & Record Management

• Maintain accurate records of licences and manage their renewal.

Collaboration & Communication

• Act as the main point of contact between internal teams and external customs brokers.
• Stay up to date with customs regulations and industry best practice.
• Collaborate with the Product Lifecycle Management (PLM) team to ensure all compliance information is up to date.
• Support logistics in updating the Product Matrix with current classifications.

What We're Looking For

• Experience in customs compliance, international trade, or a related field (experience valued over formal qualifications).
• Strong knowledge of HTS codes, import/export regulations, and customs procedures.
• Familiarity with Type Approval Certification and export/import licensing.
• Experience working with customs brokers, third-party logistics providers, and regulatory agencies.
• Proficiency in ERP and PLM systems is a plus.
• Experience in engineering, manufacturing, or production environments (not freight forwarding).
• In-house customs experience, with the ability to review and manage classification.
• Experience working with international markets; experience in Kenya is a bonus.

• Experience working with customs brokers, logistics providers, and regulatory agencies.
• Proficiency in ERP and PLM systems is advantageous.
