The Department Assistant will provide administrative support to the Transmission and Distribution group management to ensure continuity of daily department functions and operations by collaborating to provide and present department information. This position coordinates with department management to provide administrative services in conjunction with department and business line goals and objectives.
+ Facilitates the dissemination of information to the department and project teams as part of the overall communications and department management process.
+ Resolves questions regarding the department; research and provide appropriate answers.
+ Prepare and present meeting notes, presentations and tables utilizing Excel, PowerPoint, Access and other programs.
+ Develop procedures pertaining to departmental and business line requirements and assist in the development of business initiatives for the department.
+ Monitor department deadlines and benchmarks and support presentation of monthly progress reports including tracking action items and progress updates.
+ Plan, coordinate and facilitate on-site and off-site meetings for the department. This may include: department orientation and training, stakeholder meetings, management meetings, periodic reviews, etc.
+ Coordinate the required training programs and records for department personnel in conjunction with the corporate training department and project requirements to ensure compliance.
+ Assemble and analyse information involving business plans, and financial reports, resulting in the final business plan submission.
+ Monitor, review, and approve standard expenditures to ensure the activities of the department are conducted within established budgets.
+ Prepare a variety of communications including emails, meeting agendas, and meeting minutes.
+ Responsible for handling sensitive and confidential information.
+ Coordinate department related issues and complaints, such as operational resources, work stations, space assignments and supplies, and follow up that resolution has been obtained.
+ Performs other duties as assigned

**Qualifications**
+ General Certificate of Secondary Education Required or
+ Applicable experience may be substituted for education requirements. Required
+ 1 year of applicable office/clerical experience preferred
+ Proficient in Microsoft Word, Excel, Access and PowerPoint required.
+ An administrative understanding of the construction and/or engineering sector is preferred

Job spec:
Executive Administrative support: 1. Be the principal point of contact for Executive Dean(s), providing a professional interface between them and key internal and external contacts; dealing promptly and appropriately with all matters that are referred to them and using sound judgement and initiative when responding. 2. Ensure proactive and sensitive diary management; arranging internal and external meetings involving a wide range of stakeholders, ensuring optimal availability of Executive Dean(s). 3. Provide effective support at College meetings and committees including preparation of agendas, minutes, and other papers as necessary; ensure committee papers are made available to committee members in advance of the meeting; maintaining SharePoint committee site for designated College committees. 4. Ensure that the Executive Dean(s)has access to the necessary briefings, papers, and information in advance of any meetings; co-ordinate and book travel arrangements and prepare full itineraries as required.
Provide high level administrative support including drafting letters/emails, data collation, presentation preparation and proof reading/formatting when required. 7. Research and collate information, using a variety of resources, to support the work of the Executive Dean(s). 8. Work with the other College PAs to ensure that cover arrangements are in place to support the College Executive in the case of absences and peak periods, achieving a commitment to the highest level of customer service at all times. 15. Within the vicinity of the Vice Chancellors Office, support the Executive Assistants, providing telephone cover and ad hoc duties where required.
