Job Title: Production & Dispatch Coordinator
Location: Thurmaston, Leicester fully office based
Reports to: Operations Manager
Role Purpose:
The Production & Dispatch Coordinator plays a key role in the seamless operation of production and outbound logistics. This position ensures that manufacturing schedules are met, materials are available, and completed orders are dispatched on time with full accuracy. Working cross-functionally, the Coordinator is central to ensuring operational efficiency and excellent service delivery.
Key Responsibilities:
Production Planning & Coordination
- Organise and maintain daily and weekly production schedules based on incoming orders and lead time requirements.
- Liaise with production supervisors to ensure capacity planning is aligned with business priorities.
Materials & Inventory Oversight
- Monitor and manage stock levels of materials and consumables.
- Communicate with procurement and suppliers to ensure timely availability of materials.
Dispatch & Logistics
- Schedule and coordinate outbound deliveries using in-house or third-party carriers.
- Prepare and check dispatch documentation, including labels, packing slips, and delivery notes.
- Track deliveries and proactively resolve any issues relating to delays or order discrepancies.
Internal Communication
- Act as the link between production, warehousing, logistics, and customer service teams.
- Provide timely updates on the status of orders and production progress.
Quality & Compliance
- Check finished orders for accuracy and quality prior to dispatch.
- Ensure all dispatch and logistics documentation is compliant and properly recorded.
Performance & Reporting
- Monitor production and dispatch KPIs such as on-time completion and delivery rates.
- Report regularly to the Operations Manager with insights and improvement recommendations.
Continuous Improvement
- Identify and implement operational efficiencies across production scheduling and dispatch processes.
- Contribute to process reviews, systems enhancements, and workflow improvements.
Key Skills & Experience:
- Previous experience in a similar production or dispatch coordination role.
- Strong organisational and multitasking abilities.
- Confident communicator with the ability to manage priorities across teams.
- Solid IT skills including Microsoft Excel and scheduling/logistics software.
- Familiarity with warehouse, inventory, or ERP systems is an advantage.

As a Parts Dispatch Coordinator, you’ll be at the forefront of our logistical operations, ensuring that every part arrives exactly where it needs to be—on time, every time. Your contributions will have a direct impact on our race performance, helping our drivers and strategists maximize their potential on the track.
- Work closely with the transport team to manage and prepare last-minute part deliveries.
- Receive, inspect, and meticulously organize parts for delayed shipments.
- Coordinate hand luggage shipments in collaboration with Project Delivery, race parts logistics, and stores.
- Pack, seal, and load airfreight for late deliveries, ensuring secure and efficient transportation.
- Prepare and issue export documentation based on case packing details.
- Collaborate with the track logistics department to ensure smooth delivery and logistics at race events.
- Assist with annual inventory checks to maintain precise stock records.
- Oversee the receipt of returned parts from race events and ensure their efficient handover to relevant departments.
- Manage IFS booking of parts, contribute to in-house IFS projects, and support the maintenance of IFS master data.
- Support inventory tracking to uphold accuracy and efficiency in stock management.

- Proven experience in logistics or administrative roles within global events or motorsport operations, including knowledge of freight documentation and IFS.
- Hands-on experience in high-tech environments, particularly within motorsport, with a strong understanding of supply chain management and parts handling.
- A strategic, problem-solving mindset, with the ability to think ahead and develop cost-effective, innovative solutions.
