The Role

Responsibilities

Our client is looking for a highly organized, proactive, and detail-oriented Executive Administrative Assistant to provide comprehensive support to senior leadership. This role offers a hybrid working model, blending the benefits of remote work with in-office collaboration. You will be responsible for managing complex calendars, coordinating meetings and travel arrangements, preparing reports and presentations, and handling confidential information with discretion. The ideal candidate will possess excellent communication and interpersonal skills, enabling effective interaction with internal teams, external clients, and stakeholders. Key responsibilities include screening calls and emails, managing correspondence, organizing and maintaining filing systems, and assisting with special projects as needed. You will anticipate the needs of the executives you support and proactively solve problems to ensure smooth operations. A strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant administrative software is essential. This position requires exceptional organizational skills, a high degree of professionalism, and the ability to multitask effectively in a fast-paced environment. The successful candidate will be a reliable and resourceful individual committed to providing high-level administrative support.This is a hybrid role based in Liverpool, Merseyside, UK.

Key Responsibilities:
  • Manage and maintain complex executive calendars, scheduling appointments and meetings across multiple time zones.
  • Coordinate domestic and international travel arrangements, including flights, accommodation, and itineraries.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Screen and prioritize incoming communications, including emails and phone calls.
  • Organize and maintain physical and digital filing systems.
  • Assist with the preparation of board meeting materials and corporate documentation.
  • Handle confidential and sensitive information with the utmost discretion.
  • Act as a liaison between executives and internal/external stakeholders.
  • Manage expense reporting and assist with budget tracking.
  • Support executives with ad-hoc projects and administrative tasks.

Qualifications:
  • Proven experience as an Executive Administrative Assistant or in a similar senior support role.
  • Exceptional organizational and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent written and verbal communication skills.
  • High level of professionalism and discretion.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problem-solving skills and proactive approach.
  • Experience with virtual meeting platforms and collaboration tools.
  • Ability to work effectively in a hybrid work environment.
