Role Overview

This is an exciting opportunity for an experienced Executive Assistant & Administrative Support to ensure the smooth operation of the CEO’s office while also providing structured support to the Marketing & Project Growth Leader. Responsibilities span business, operational, and personal support for the CEO, alongside assistance with marketing logistics, events, communications, and documentation. The ideal candidate will be a highly experienced administrator with a natural talent for organisation, a sharp eye for detail, and a genuine enjoyment of administrative work.

This role is ideal for someone who truly enjoys administrative work and takes pride in being highly organised, dependable and thrives on structure, accuracy, and being the steady backbone of an organisation. We are looking for a career administrator who values stability and excellence by being the “go-to” reliable support. The successful candidate will demonstrate strong organisational skills with least four (4) years PA/EA experience. This role is essential for ensuring the smooth and efficient operation of executive functions, managing complex schedules, coordinating communications, and handling a wide range of administrative tasks with professionalism and discretion. You will be the go-to person for executives, anticipating their needs and proactively managing their administrative workload to allow them to focus on strategic priorities. This position requires exceptional organizational skills, impeccable attention to detail, and the ability to manage multiple priorities effectively in a fast-paced, virtual environment.

Key responsibilities include managing complex calendars, scheduling meetings, appointments, and travel arrangements (flights, accommodation, itineraries) for senior executives, ensuring optimal time management and seamless coordination. You will screen and prioritize incoming communications, including emails and phone calls, responding to inquiries where appropriate and directing matters to the correct personnel. This role involves preparing reports, presentations, agendas, and minutes for meetings, ensuring accuracy and timeliness. You will manage and maintain confidential files and records, ensuring data integrity and compliance with company policies. Proactive inbox management, identifying urgent matters and ensuring timely responses, is a crucial aspect of this role. You may also be responsible for coordinating internal and external events, assisting with project-related administrative tasks, and performing general office duties such as processing expenses and managing supplies. Building and maintaining strong working relationships with internal teams and external contacts is essential.

The ideal candidate will possess a Bachelor's degree or equivalent experience in business administration or a related field. A minimum of 5 years of experience providing high-level administrative support, preferably to senior executives, is required. Proven experience in managing complex calendars, coordinating travel logistics, and preparing professional documentation is essential. Exceptional proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams, Google Workspace) is mandatory. Excellent written and verbal communication skills, with a keen eye for detail and grammar, are paramount. You must demonstrate outstanding organizational and time-management skills, with the ability to multitask and prioritize effectively in a remote setting. Discretion, confidentiality, and a proactive, problem-solving attitude are critical. The ability to work independently, anticipate needs, and deliver high-quality support with minimal supervision is key.
