Summary
MK Gallery’s Exhibition Coordinator supports the Head of Exhibitions to arrange the practical organisation, logistics and delivery of the artistic programme, including touring exhibitions. They will contribute to the production of catalogues support exhibition-related funding applications and assist with writing interpretation material for the programme.
Main Duties and Responsibilities
Programme delivery
Supporting the Head of Exhibitions to deliver the exhibition programme. This includes but is not limited to:
- Assisting with the practical arrangements for the exhibition tours including packing, transportation, and courier schedules.
- Assisting with research and collating object and contextual images and seeking copyright clearances.
- Assisting with the acquisition of loans, liaising with artists, curators, collectors and galleries were required.
- Assisting with administration for off-site projects and other artists’ projects.
- Researching and ordering expenditure items for exhibitions and projects.
- Assisting with the coordination and booking of travel for artists and other individuals involved in the exhibition programme.
- Researching and collating information on artists in the programme.
- Assisting with the planning and managing the installation of exhibitions.
- Assisting with the preparation of display materials for exhibitions.
- Providing support with condition checking, environmental data monitoring.
- Administering artists’ and exhibition proposals and responding to enquires form the general public regarding the exhibition programme.
- Researching and sourcing material for exhibition interpretation and for the production of catalogues.
- Supporting fundraising for exhibitions, drafting funding bids and sourcing in-kind support e.g. drinks sponsorship for private views.
- Deputise when required for the Head of Exhibitions and take sole responsibility for smaller projects as necessary.
Administration
- Assist the Head of Exhibitions in the writing and drafting of contracts and agreements with art practitioners and professional arts contacts.
- Liaising with the Marketing and Communications team and other staff where necessary to promote exhibitions and events.
General
- To undertake other duties as reasonably requires by the Head of Exhibitions or Director.
- To carry out their responsibilities with due regard to the MK Gallery security, Health and Safety, Child Protection and Equal Opportunities Policies at all times.

Person Specification:
Essential Skills
- Knowledge and interest in visual arts.
- Strong administration and organisational skills with a high level of literacy and attention to detail.
- Excellent communication and interpersonal skills including the ability to deal diplomatically with a wide range of people at varying levels inside and outside of the organisation.
- Numerate and confident user of Microsoft Office.
- Experience of project-based work delivering to a deadline.
- Understanding and commitment to equal opportunities, cultural diversity and access for all.
Desirable
- Undergraduate degree in visual arts or related subject.
