What is the job?
The ideal candidate will be expected to support our Technical Support and Sales Teams in all administrative aspects, with a focus on the coordination of technical RMAs Europe wide.
This role is based in the Thorlabs UK office.
Working Hours: Monday to Friday 8.00 am – 4.30 pm (Hybrid working available)
Key Responsibilities include but are not limited to:
- Support of our European technical support and sales teams in administrative matters
- Communicating with the customer via phone and email in CRM
- Creating quotations for special products
- Data maintenance for special articles and configurations in the ERP system
- Processing and coordination of repair, replacement, Customer supplied material and loan orders
- Coordination of repair cost estimates and QM reports between customer and repair sites
- Coordination of replacement items with manufacturing sites
- Follow up on open RMAs and provide status updates to customers
- providing cross-support to CSR teams as required

Where you will be working?
It’s a hybrid role, working in our new purpose-built facility in Witchford, Ely as well as your home. Our purpose-built facility is just 12 miles from Cambridge, within the beautiful mediaeval city of Ely. There are train and bus links to Ely from Kings Cross and Liverpool Street London, and our site is within distance of Ely train station and Ely Bus station.
Requirements
- Commercial education or previous experience within Customer Support Representative role.
- Work experience in a technical field is preferred
- An ability to provide a high standard of customer service via phone and e-mail
- A high level of level of accuracy and attention to detail when processing orders and RMAs
- Strong familiarity with Microsoft Dynamics AX or a similar ERP system
- Very good English (B2+) skills required, good skills in another European language preferred (German, Swedish, French)
- An excellent standard of written and verbal communication skills
- Service-oriented mindset
- Problem-solving in a fast-paced, constantly changing environment
- A high attention to detail

ROLE OVERVIEW AND PURPOSE
This role primarily involves the administration and oversight of our Workforce Management (WFM) system, with a focus on the Time and Attendance functionality. As a system administrator, you will be responsible for the implementation, delivery and training of the software for new clients, ensuring a smooth onboarding experience.
You will also provide operational and technical support to the wider team, including troubleshooting issues and assisting with the day-to-day system queries.
You will also be expected to provide project administration support to project teams as required, assisting with the coordination of documents and tracking of project activities.
KEY RESPONSIBILITIES
- System Implementation and Configuration: Manage the set-up, configuration and rollout of the WFM software, ensuring alignment with business needs
- Technical Support and Troubleshooting: Provide hands-on support to users during and after implementation, resolving issues and escalating where necessary
- Stakeholder and Operational Support: Liaise with the wider teams, managers, front line server workers, HR, payroll and vendors to ensure timely delivery with operational support
- Workforce Scheduling and Compliance: Assist in the configuration scheduling rules, shift pattens and pay
- Reporting and Analytics: Generate and interpret workforce data reports to support HR and Payroll requirements and identify trends in attendance, overtime, productivity and annual leave
- User training and Documentation: support efforts by updating or creating user guides, FAQs and process flows. Provide training both in person and remotely
- Project Coordination Support: Assist with project teams with scheduling meetings, minute taking and maintaining project documentation
- Administrative Support: Support by preparing reports, updating logs and managing communication between stakeholders, helping maintaining clarity and momentum throughout the project lifecycle
REQUIRED SKILLS AND EXPERIENCE
- Proven experience in system administration or IT support roles, ideally within HR or Workforce management systems
- Familiar with HR and Payroll operational and system requirements
- Strong IT and Operational problem-solving skills and the ability to work independently
- Onboarding and Engagement: experience in guiding and managing onboarding new users and clients
- Excellent communication skills with a user focus approach
- Experience with handing data, system integration and user training
QUALIFICATIONS
- Workforce Management Expertise: 3+ years hands-on experience administrating workforce management systems, with a strong user focus mindset
- HR and Payroll Knowledge: solid understanding of HR and Payroll operations, including system requirements
- Technical Support and Troubleshooting: Demonstrated experience in IT Support roles, including diagnosing and resolving system issues
- Project Management Capability: Possesses a Project Management qualification (e.g., PRINCE2) or has a strong working knowledge of project management methodologies and tools.
- IT Service Management: Holds an ITIL certification or has a clear understanding of IT service delivery, incident management, and change control processes.

We are a thriving Methodist Church in Wimborne which needs someone to provide professional administrative support to take the place of volunteers who currently conduct the work in this role.
Efficient administration, including communications, property hire and logistical support to worship, is key to enabling the Church to fulfil its mission.
Communication includes preparation of newsletters for circulation by print, email and website, maintaining social media and liaising with print and broadcast media as required.
Worship support includes preparing presentation material for Sunday worship from information provided by the preacher and the maintenance of duty rotas for Sunday services.
Property work is focussed on letting of rooms within the church, invoicing of rents and maintaining the diary of use of our premises. There is no direct involvement in property maintenance.
As this is a new role it is likely that it will evolve as we gain experience of how the role works and it may take more time and extend into other areas.

The skills and experience needed, which are more important than formal qualifications, are:
Experience of working in administrative roles, of working without direct supervision and of dealing with customers and suppliers.

It may be an advantage if you have worked in a voluntary, charitable or faith-based organisation.
