About the Role
We are looking for a proactive, hands-on Marketing Events Coordinator to join our clients team on a temporary to permanent basis!
Based in Portsmouth, you will play a pivotal role in ensuring the smooth planning and execution of our clients global events programme - including trade shows, seminars, customer conferences and specialist industry events across APAC, the Middle East, and Latin America.
Key Responsibilities
- Plan, coordinate and deliver successful events (trade shows, seminars, customer conferences) across international markets.
- Manage relationships with suppliers, stand builders, venues and freight/shipping providers.
- Organise the shipment of demo equipment and marketing merchandise to international events.
- Support the production and distribution of event-related materials, merchandise and collateral.
- Work closely with the Marketing Manager to ensure events align with brand, strategy and business goals.
- Monitor event budgets, time lines, and post-event reporting.

About us:
Colet House is a charity in West London, home to a wide variety of spiritual practices, workshops, performances, and events. Rooted in history yet open to creativity and innovation, we provide a space for movement, music, meditation, and meetings that bring people together. We are seeking a Marketing & Events Coordinator who will take ownership of our communications and events programme, ensuring our brand, voice, and activities are consistently represented with creativity and professionalism.
The Role:
As Marketing & Events Coordinator, you will lead on all aspects of Colet House’s marketing and events. This role requires a highly motivated, organised, and independent individual who thrives in creative environments and is confident working with multiple stakeholders. You will manage everything from concept creation and content design to event execution and post-event promotion.
Key Responsibilities:
Marketing & Communications
- Plan, design, and send the monthly newsletter using Canva and Squarespace.
- Schedule and manage social media posts across Instagram, Facebook, and TikTok using scheduling platforms.
- Create engaging content (graphics, reels, flyers, stories) using Adobe Creative Suite or Canva.
- Arrange photoshoots and video shoots by liaising with photographers/videographers; manage timelines, briefs, and assets.
- Proactively generate new creative ideas to promote Colet House (e.g., branded merchandise, video campaigns, festival activations).
Events Coordination
- Develop and deliver events from concept through to completion (e.g., workshops, open days, festivals, community activities).
- Source, approach, and confirm facilitators/teachers; coordinate with the General Manager and Front of House to align schedules.
- Build event pages on the website via Squarespace, create ticketing links, and promote via all marketing channels.
- Liaise with vendors (caterers, florists, printers, etc.) to ensure smooth delivery of events.
- Lead on Colet House’s annual participation in the Mind Body Spirit Festival: plan and design the stand, oversee creative assets, produce flyers/QR codes/discount campaigns, and attend the 4-day event.
Stakeholder Management
- Work closely with the Board of Trustees, navigating diverse opinions and feedback with patience and professionalism.
- Balance creative autonomy with the ability to adapt to trustee direction and organisational needs.
About You
We’re looking for someone who is:
- Educated to degree level in Marketing, Communications, Events, or similar.
- Experienced in events coordination and/or marketing (minimum 1–2 years).
- Highly self-motivated, independent, and able to set and respect their own deadlines.
- Extremely organised and detail-oriented, able to manage multiple projects simultaneously.
- Creative and resourceful, with strong design skills and an eye for branding.
- Comfortable working in a small, non-corporate team and liaising with multiple stakeholders.
- Patient, adaptable, and resilient when faced with differing opinions or last-minute changes.
