This is a full time and permanent role that can offer a competitive salary. 

We are open to candidates without procurement experience but who have good administration and computer skills, a graduate seeking their first role or someone with some procurement/purchasing knowledge. 

The Role:

  • To ensure appropriate elements of the electronic purchase ordering gateway are dealt with efficiently and effectively across various order types, including development projects, overheads, construction and operations.
  • li>To co-ordinate the pre-qualification and vendor due diligence process of both new and existing suppliers through to conclusion and to liaise with finance, health and safety, and technical co-ordinators for their input into the assessment.  li>To assist with the assessment of suppliers.
  • To assist with the completion of appointments and contract variations, ensuring they are issued to suppliers / consultants in a timely manner and tracked.
  • To ensure appointments and contract variations are signed appropriately, and hard copy documents and electronic copies are filed off accordingly whilst unsigned contracts and variations are expedited regularly and reconciled to a purchase order.
  • To assist with the co-ordination of tendering exercises, responsibilities to include, carrying out initial review of Client Brief and fee schedules prior to issue of tender, supplier due diligence as appropriate, initial review of bids received and completion of tender review schedules.
  • To ensure record Database and system are maintained to guarantee information dashboards and Work in Progress (WIP) reports are real time.
  • To report, on a monthly basis, the audit statistics for the procurement team’s Key Performance Measures (KPMs).
  • < i>To ensure appropriate service contracts for central services, covering utilities, facilities and IT, are documented, referenced and saved.
  • To take ownership of the Procurement intranet page liaising with the marketing team to ensure information is relevant and current.

The Person/Specification:

  • Proven experience of at least 1 year in Procurement / Purchasing role would be desirable but not essential
  • < i>Open to graduate level, administration background or someone with some purchasing experience
  • Completed Procurement Apprenticeship or similar
  • Educated to ‘A’ level or equivalent
  • Excellent numeracy skills

We have an exciting opportunity for a dedicated and enthusiastic Procurement Assistant to join our team at the Dartford Operations hub (relocating to Aylesford December 2025). As we continue to grow, you’ll have the opportunity to make this role your own; Reporting directly to the Purchasing Manager, your focus will be assisting with the procurement of goods and services, maintaining accurate purchasing records, and supporting the wider business with all purchasing-related tasks. Working collaboratively within a high-performance team, you'll manage the procurement of one of our core products and be the MS Excel reporting lead.

Key Responsibilities
  • Ensuring timely processing of daily requisitions (20-40) via our purchasing system from our UK hubs.
  • Accurately respond to invoice queries (order discrepancies) when these arise to ensure these are effectively resolved.
  • Clear open receipts and maintain and update system records to reflect action has been taken.
  • Collaborate with cross-functional teams and build and maintain good, strong working relationships with our suppliers and internal stakeholders to identify opportunities, process improvements, and enhanced supplier relationships.
  • Be the 1st point of contact for our core product: Soundex – taking the lead on this project, including working and managing our supply chain-ensuring products are manufactured and delivered within set time frames and budgets.
  • Source materials/equipment/parts directly from retail/stores to expedite order fulfilment.
  • Prepare and analyse reports/metrics to identify opportunities for cost savings and process improvements.
  • Complete ad hoc purchasing and supply chain tasks to ensure good order and processes are kept.
  • Monitor trends and supply chain factors to make informed business decisions.
  • Support other departments with purchasing needs and requirements.

Requirements

  • Relevant qualifications in business administration, purchasing, supply chain management or a related field.
  • Strong understanding of procurement processes and supplier management.
  • Excellent communication and negotiation skills.
  • Knowledge of Syrinx or other procurement software/tools.
  • Proficient in Microsoft Excel (Intermediate) desirable
  • Excellent IT skills and Office Suite.

  • Familiarity with SAP or other ERP systems in a manufacturing context; certifications such as APICS, IPICS, or CIPS are advantageous.
  • Demonstrates active listening and shares relevant information and knowledge with others in a timely and respectful manner.
