**Job Description**
We are seeking a skilled and experienced Project Manager to join our Architecture + Design Studio. This role will lead the management and delivery of complex, multi-disciplinary projects, ensuring alignment with client expectations, project goals, and financial objectives. The ideal candidate will be a confident leader with strong communication, organisational, and commercial management skills, adept at guiding teams to deliver high-quality outcomes seamlessly.

+ Responsible for the overall management and administration of assigned projects.

**Qualifications**
+ Bachelor's degree in Architecture, Engineering, Construction Management, or a related field.
+ Professional certification in project management (e.g., PMP, PRINCE2) is an advantage.

Requirements

We’re looking for a confident, highly organised Freelance Senior Project Manager who has a hunger for facilitating the creation of inspiring industry-leading work. You should have strong project and client management experience within our industry, implementing and streamlining processes across teams to drive consistency and a high level of organisation.

Ideal Experience: 

  • 5+ years experience in a similar role, Project Managing design for windows, permanent retail spaces, digital experiences and pop ups
  • Seasoned industry player with varied client-facing experience
  • Excellent understanding of the world of retail and brand experience and the design and production process
  • Strong IT skills - in particular Google Workspace (Sheets, Slides & Docs), HubSpot (or other similar Sales & Marketing tools), Synergist (or other similar quoting & scheduling software)
  • Experienced and highly competent in financial management of projects. Set up, tracking and billing
  • Organisational master who is efficient and takes pride in their attention to detail

Skills & Responsibilities:

  • Supporting the Traffic Manager: in the overall scheduling and management of the design team with a view to maximise efficiency and capacity whilst delivering world-class creative 
  • Project Planning: for multiple projects of varying size, you will develop comprehensive project plans, including scope, objectives, timelines, budgets and resource allocation, in collaboration with design team leadership and our clients
  • Resource Allocation: supporting the Traffic Manager in allocating design resources efficiently, including directors, designers, freelancers, and other team members, to ensure optimal project performance
  • Client Communication: maintain regular and transparent communication with clients, keeping them informed about project progress, changes, and addressing any concerns or feedback in a professional and proactive manner. Ensuring both the client and the design team have what they need in regards to information & files in good time to deliver the projects. Booking, organising, facilitating and leading on client calls and meetings when required 
  • Internal communication: within the design team and across the business ensuring the clients needs are met and the project is delivered to our standards. Ensuring clean and accurate handover of projects between departments and stakeholders
  • Budget Management: manage project budgets, tracking expenses, and ensuring that projects are delivered within the allocated budget. Build & provide cost estimates and client-facing quotes. Provide financial status and forecasts to clients and internally as necessary. Ensure all design projects are delivered on time and within budget managing the scope and timelines throughout and bringing key stakeholders together to solve timing and budgeting issues
  • Timeline Management: create and manage multiple project schedules, ensuring deadlines are met and critical milestones are achieved. Identify potential roadblocks and implement solutions to keep projects on track
  • Risk Assessment and Mitigation: identify project risks and develop strategies to mitigate these risks. Ensure that contingency plans are in place to handle unforeseen issues
  • Documentation: maintain comprehensive project documentation, including project reports, status updates, and client correspondence
  • Client Servicing: through brilliant project management ensure that the client is appropriately onboarded, happy and satisfied with our service. Conduct or instigate regular client feedback through Satisfaction surveys, identify potential growth opportunities and escalate any client issues or opportunities 

Benefits

Location: 

We currently work a hybrid model; 3 days a week from our East London studio in E10 and 2 flexible days. Our normal working hours are 9am - 6pm but flexible working hours and days are available.

Are you an experienced office manager, or have experience working in a creative environment organising, providing administrative assistance, and generally keeping everything on track?

Our client are recruiting for an experienced Studio Manager. This is a central figure in the day-to-day operations of the Art Department, managing the workflow of the creative team. This pivotal role oversees, troubleshoots, and manages the schedule, providing admin support as well as project management, generally being the first point of call for all queries.

This opportunity is offered on a 3-month fixed term contract starting in September.
Hourly rate: 16-19 per hour, depending on experience.
Location: Battersea fully on-site.

Key responsibility of the role.

Reporting into the Art Director, this position will ensure that we hit the right deadlines for UK and International sales teams, for marketing and publicity teams and ensure the smooth running of the department.

Responsibilities include:

  • Day to day operations of the Art Department
  • Manage the design production schedule and sign off process
  • Update and maintain design relevant aspects in our internal system
  • Administrative support to the immediate and wider team
  • Track and process invoices in a timely manner
  • Draw up contracts for freelance designers, illustrators, photographers etc
  • Help facilitate the implementation of new operational systems in the Design team
  • Basic working knowledge of InDesign and Photoshop (we can provide training for this)
  • Attend cover/briefing meetings and take minutes.
  • Working with Art director to set agenda for cover meetings
  • Chasing briefs on the system, cover copy, author sign off to ensure all covers on schedule.
  • Represent the team in the non-design related meetings.
  • Ensuring provide back up and support for Art Director.

What you'll bring

The Office Manager is a lynch-pin of the team so we are looking for someone with demonstrable experience in project management, office management or senior administrative/support roles. It's not a requirement that you'll understand how an art department works, or have worked in a creative environment before, but you'll be excited to! You'll also:

  • Be calm, personable and to be able to cope with encouraging others and enforcing deadlines.
  • Be confident dealing with stakeholders at all levels in the organisation from designers to editors, to sales and marketing colleagues
  • Have excellent prioritisation and organisation skills to manage designers workloads

The Role

This is a hands-on role at the heart of the studio. We’re looking for a proactive, person-oriented individual who makes every aspect of our studio run smoothly. You'll be the welcoming face of the company, ensuring our spaces are comfortable, well-maintained, and set up for productive and creative work. You’ll be a confident, natural problem solver. You’ll support the team by making sure everyone has what they need to thrive and nurture our collaborative culture, and contribute to the positive energy of our studio. 


Key Responsibilities


Studio

  • Managing every aspect of running the studio; 
  • Being the first point of call to greet visitors and couriers 
  • Dealing with deliveries and distribution  
  • Checking stock levels, ordering studio supplies, and replenishing 
  • Ensuring the upkeep of the studio spaces 
  • Liaising with the landlord and managing third-party contractors about building maintenance issues and facilities 
  • Managing the security of the studio, including the entry system and CCTV 
  • Maintaining and communicating the health & safety, fire evacuation, and emergency policies and procedures 
  • Managing the fit-out of the new studios, including liaising with contractors and ensuring disruption to the team is kept to a minimum 


Team Assistance

  • Arranging quarterly team gatherings, including researching and making bookings 
  • Booking transport and accommodation for team travel 
  • Assisting with diary management, including booking departmental meetings 
  • Reconciling credit card usage and processing expenses 
  • Supporting the Head of People and the IT Manager with new starter onboarding, including arrangements for studio access, workspace setup, and induction 
  • Creating and ordering studio merchandise for conferences and events, and purchasing tickets 
  • Updating the website and posting to social media accounts 


You Will Have

  • 2 - 3 years of experience as a Studio / Office Manager or equivalent role 
  • A positive attitude and a creative problem solver 
  • A keen eye for detail and highly organised 
  • Fantastic time management skills and ability to multi-task and prioritise 
  • The flexibility to quickly adapt to changing priorities 
  • Excellent written and verbal communication skills 
  • Ability to work in a creative, fast-paced environment 
  • A commitment to supporting our core values and culture
