Our client, a well-established leading manufacturing company are seeking an experienced administrator who will help supervise all warehouse procedures and documentation. The successful candidate will ensure the safe and efficient receipt, storage and dispatch of warehouse materials, goods and products to feed business operations and customer demand. They will be responsible to liaise with local sales managers and logistic teams and be responsible for all stocks and will be the SPOC for logistical warehouse activities.

Job Responsibilities

• Ensuring adherence to health, safety, and environmental standards; operating in a manner that safeguards self and others.
• Maintaining the cleanliness and orderliness of the office and workspaces to support operational efficiency and a safe working environment.
• Supervising daily warehouse activities to ensure smooth, timely, and efficient operations.
• Maintaining accurate stock and inventory records through timely data entry in the computerized system.
• Conducting regular stock audits and preparing detailed reports for management review.
• Overseeing quality control processes, including packaging standards and inventory checks.
• Following established Standard Operating Procedures (SOPs) for packaging and quality assurance.
• Create a pick list for arranging stock and share with the warehouse team for dispatch.
• Handling goods returns and coordinating effectively with Sales, Warehouse, and India Logistics teams.
• Forecasting production requirements and communicating relevant data to the Sales and India Production teams.
• Coordinating and liaising with warehouse staff and freight companies to ensure seamless logistical operations.
• Managing the training centre and ensuring all infrastructure and resources are in place to meet training requirements.
• Identifying opportunities for operational and process improvements; recommending strategies to enhance efficiency and deliver added value

Skills and Attributes

• Ability to accurately complete paperwork and count stock items
• An understanding of health and safety requirements
• Flexible approach to duties and tasks
• Good understanding of customer deliverables and the impact of failure / cost of poor quality
• Prior warehousing experience is required.
• Awareness of Dangerous Goods Handling would be an added advantage.
• DG Goods certification (potential; option for company to sponsor this certification)

The Warehouse Supervisor is responsible for the operations team and their daily tasks, to ensure they are completed efficiently and safely.

All customer orders must be coordinated to the correct team members and completed within agreed timescales. Monitor bays to ensure all goods received into the depot are stocked as required. To follow up on all issues and queries using the correct procedures.

Key Responsibilities:

Team Supervision

• Supervise the picking of all customer orders, ensure they are allocated to the correct team member and are picked, packed and allocated to the correct delivery bays for agreed delivery dates.
• Complete routine checks on customer orders picked for accuracy and correct packing methods.
• Monitor the goods received for supplier orders received, and stock must be moved to the allocated warehouse location promptly.
• Utilise all operational staff to meet the demands within each department, to include annual leave, sick/absence and increased workload.
• Complete back-to-work interviews following sick leave.
• Monitor timekeeping.

Team Leadership

• Schedule regular team meetings with operational staff to discuss areas for improvement, training needs and general feedback.
• Promote the Positive intervention procedure, monitor the number of Positive interventions and good practice reported each week.
• Deliver a weekly 3-pillar forum along with other team leaders and management.
• Enforce safety regulations and risk assessments.

Quality

• Responsible for housekeeping within the depot, making sure all work areas are tidy and relevant rack inspections are completed when required.
• Identify areas for improvement for products, processes and service to customers.
• Provide full support to the sales team and management for complaints received.
• Fully accountable for the accuracy of customer orders and stock control within the depot.

HSEQ

• Assist with the day-to-day HSEQ activities.
• Complete tasks in accordance with depot risk assessments.
• Assist with ensuring that the organisation meets all agreed health and safety legislation and objectives that are appropriate for your area of management to include risk mitigation, and that control measures are in place.
• Assist with risk assessment creation, review, and monitoring, ensuring all tasks are covered, including activities outside normal working protocols.
• Report accidents and positive interventions using the correct methods and ensure the team are also aware of their responsibilities to report following the BCS HSEQ reporting structure.
• Ensure the correct PPE is used in the depot at all times.
• Maintain excellent levels of housekeeping, ensure areas are free from waste and trip hazards.
• Complete weekly checks for all equipment used within the depot as listed in the department file.
• Brief all RAMS and SSOW, identifying any areas for review or potential noncompliance.
• Deliver or assist in the delivery of the weekly 3-pillar forum.
• Ensure the risk assessment register is completed for all new starters.
• Set an example for team members of commitment to health and safety activities.
• Attend daily team leader meetings.
• Assist the Ops Manager in complying with our environmental requirements and share best practices.
• Assist the wider HSEQ team on environmental and Quality matters. This includes supporting the preparation for external audits, including ISO14001, ISO50001
• Assist with long-term Carbon strategy linked to our Be Sustainable Be Green Plan
• Assist with the development and delivery of internal environmental and Quality training.
• Identify environmental/Quality good practice for inclusion in Company communications.
• Monitor and review the environmental/Quality performance of your team.
• Assist in site inspections and audits.
