**Position Purpose**
Boeing Global Enterprise Services (BGES) provide internal services to ~100 non-US locations, in 34 countries, ensuring safe, secure & compliant operations in an effective and efficient delivery model for our stakeholder communities. The team reports into Boeing Global supporting regional teams and works in close collaboration with Enterprise Services, Global Real Estate, Facilities and Asset Management, Indirect Supply Chain, Enterprise Financial Services, Security & Fire Protection, IT&DA and HR Services to deliver a global capability.
**Responsibilities**
The Site Focal role is positioned to ensure the smooth and seamless operation of the **Boeing Bristol** offices providing multi-disciplinary business process and administrative support to the residents, working closely with internal business functions and external contractors and suppliers.
Provides administrative, personnel and customer support to facilitate on-site activities. Supports project and process plans and in the implementation of policies and procedures. Develops and maintains relationships and partnerships with customers, stakeholders and peers. Supports multiple administrative processes. Responds to customer requests. The Bristol site is a very busy location which provides facilities for approx. 700 employees and attracts a high volume of visitors.
Duties will include (but are not limited to):
+ Input and track all facility related issues through supplier web based platforms to completion with consistent resident communications and fix timelines being provided.
+ Build relationship with FM providers to ensure Boeing site operation consistency is adhered.
+ Responsible for raising purchase requisitions for facility related items through procurement internal business systems.
+ Invoice management support for facility and business procurement when required.
+ Development and management of Site Emergency Planning including documentation updates through internationally provided processes, templates and testing.
+ Accountability for ensuring that all Health and Safety policies and procedures are systematically applied in order to facilitate the safe, secure, healthy and compliant operation of site activities.
+ Support Reception desk duties as required.
+ Maintains Site records including management of accounts and facility OEM manuals.
+ Internal business support SharePoint management.
+ Occasional support to cover as Business Support Specialist/ Site Focal for other sites.
+ Opportunities to support projects across the region in a support or leadership capacity.
**Skills and Competencies**
+ Must be a proactive, assertive, high energy individual and can work efficiently in an environment where priorities can change frequently.
+ Must be highly responsive to the needs generated by the day-to-day activities of the site and business management requirements.

To support the Distribution Centre Management team with reporting duties. The role will be based at our Distribution Centre in Leicester, reporting into the Head of Distribution & Supply Chain, whilst working closely with Finance team. This is a full-time role working 40 hours per week, with flexibility in line with the requirements of the business
RESPONSIBILITIES:
Finance Support:
- Update and maintain DC employee timesheets on a payroll system, process it monthly within specified deadlines, ensuring that all employees are paid correctly.
- Complete the agency workers payroll by liaising with each different agency matching the invoice to the timesheet to ensure accuracy.
- Collate all weekly payroll costs and tally with monthly budget enabling DC management to review overall spend is in line with expectation.
- Collate monthly accruals and process journals on a finance software (SUN systems)
- Produce DC annual budget and monitor versus monthly expenditure.
- Produce weekly A vs B reports ensuring that all DC accounts are correct; reconcile any discrepancies identified by liaising with other departments or external suppliers.
- Produce and monitor purchase orders for all purchases or works to be carried out and match with invoice upon receipt.
- Allocate correct cost code for each invoice ready for Line Manager Approval and authorisation then forward all authorised invoices to the Finance department for payment.
- Process approved supplier invoices to accounting software.
Other Duties:
- Maintain site productivity metrics, ensuring reports are completed in a timely manner.
- Provide training, cover and support to the team as required.
- Undertake any other duties as reasonably requested by site or finance management.
- Manage 2 team members who will assist in finance and KPI reporting.
- Manage deadlines and progress across the team to ensure reports are delivered on time and to a high standard.
EXPERIENCE / SKILLS REQUIRED:
- Previous experience of administration/ coordination in warehouse/manufacturing/office environment desired.
- Previous experience in finance and reporting is necessary.
- Journal positing at month end.
- Business partnering.
- Excellent organization and time management skills.
- Excellent communication skills are essential (verbal and written).
- Highly accurate with attention to detail.
- Experience with Microsoft Excel, Word and Outlook is essential.
