Business Assistant

As a Business Assistant, you will work directly with the founders of Grakn Labs in running and growing the organisation. Your work will directly impact the performance of the organisation leadership, and thus, the organisation too. You will be exposed to every part of the business, and you will gain first-hand experience on what it takes to build and grow global technology company - most of which is made up of vision, intelligence, process, and the grind.

At Grakn Labs, the Business Assistant's mission is to empower the founders to perform at their best, and help the organisation to run and grow as fast as possible. You will learn about and manage various aspects of the business, such as People Operations (HR), recruitment, administration, finance, marketing, social media, technology, and software development. You will also help the founders to make the best use of their time, by managing the operations, administration, and management task for them and the organisation. By working with many stakeholders in Grakn Labs, you’ll gain a deep understanding of the processes at the organisation and will help to improve its operational efficiency.

Responsibilities

  • Work directly with the founders across all operational and administrational tasks
  • Manage the organisation's administration, secretarial and data management tasks
  • Manage the organisation's People Operations (HR)
  • Manage the recruitment, hiring and on boarding processes
  • Manage the office operations and logistics
  • Manage the financial administrations of the team
  • Support the marketing, social media, and online presence of the founders and the organisation
  • Support the preparation and administration of board meetings
  • Support fundraising initiatives and investor relations
  • Support the administrations and logistics of the sales, marketing, and engineering team

Requirements

  • University degree or similar combination of education and experience
  • 3+ years of experience as a Personal Assistant, Executive Assistant, or Office Manager
  • The ability to research and learn new domains
  • The ability to present information clearly and concisely
  • Impeccable attention to detail
  • Excellent organisational and time-management skills
  • Proven ability to prioritise tasks and work under pressure
  • Proven ability to multitask and manage multiple ongoing priorities
  • Excellent interpersonal, oral and written communication skills
  • Takes full ownership and accountability of projects and their delivery
  • Team player who prioritises the success and growth of the team
  • Willingness to learn about software and technology, and how to code
