Position Summary
As a Warehouse Manager, you will lead the daily operations of our client’s warehouse, ensuring smooth and efficient processes. You will manage a team of Warehouse Operatives and be involved in every aspect of the warehouse operations, from receiving shipments to picking and packing orders. This role requires a hands-on approach, with 80% of your time spent on the warehouse floor and 20% handling office-based tasks. You will play a critical role in driving efficiency, managing inventory, and contributing to the overall growth of the company. As a given, safety is also a massive responsibility.
Key Responsibilities:
- Lead and manage a team of Warehouse Operatives to meet daily operational targets.
- Oversee the receiving, picking, packing and shipping processes to ensure accuracy and efficiency.
- Implement strategies to optimise warehouse workflow and improve productivity.
- Ensure the warehouse adheres to all Health and Safety regulations and company policies.
- Manage stock control, ensuring accurate inventory levels and timely restocking.
- Resolve any operational issues that arise, ensuring minimal disruption to workflows.
- Train, develop and upskill team members to maintain a high level of performance.
- Collaborate closely with the Head of Operations to align warehouse goals with company objectives.
- You must be prepared to get involved with the lifting and packing of stock and also forklift use.
Qualifications and Skills:
- Minimum of 5 years of experience in warehouse management, with a proven record of success.
- Strong leadership skills, with the ability to inspire and motivate a team.
- Excellent organisation skills and with the ability to manage multiple priorities.
- Proficiency in warehouse management systems and software.
- Excellent communication and problem-solving skills.
- A valid forklift operator licence (Bendi and Counterbalance) is preferred but not required.
Timings: Monday to Friday, 7 am to 5 pm (10 hr shifts; 45 hrs a week).

Responsibilities
- Responsibility for the safe and effective operation of warehouse activities.
- Responsibility for the operation and accuracy of the Warehouse Stock Management System.
- Ensure all work is carried out in compliance with current Health and Safety legislation, COSHH, and current Good Manufacturing Practice (GMP) and Good Distribution Practice (GDP).

- Assist with departmental training and completion of training documentation, principally governed through the Compliance Wire system.
- Effectively manage document and process changes through the TrackWise QMS system and electronic documents management system, EDMS.

Role Description
Management of the Hilltop Leaf GDP/GMP Distribution Warehouse and to maintain full GxP compliance including stock accuracy, warehousing orders processing, goods transportation (Goods In and Out) and customer’s satisfaction.

Daily Activities
Compliance and Training
- Ensure the warehouse consistently meets GMP/GDP and HSE standards.
- Maintain up-to-date training for all warehouse staff, including personal training records and those of direct reports.
- Provide continual on-the-job and desktop learning opportunities for employees.
Quality Management and Regulatory Obligations
- Complete QMS tasks promptly, including reporting and resolving Incidents, Deviations, CAPAs, Change
Controls, and conducting Risk Assessments.
- Maintain up-to-date SOPs, calibrate equipment in a timely manner, respond to Internal Audits, onboard suppliers, manage Recalls, and perform routine Temperature Mapping.
- Host regulatory inspections
Supervision and Daily Operations
- Supervise daily warehouse staff, ensuring proper coverage for all shifts and effective department operation.
- Supervise all onsite and offsite warehousing activity
- Address logistical issues and implement solutions efficiently.
- Participate in all aspects of warehouse activities, such as stock receiving, perpetual inventory, stocktaking, picking, packing, and forklift operation.

- Maintain a clean, tidy, and organised warehouse environment.
Logistics and Customer Service
- Collaborate with wider teams in Sales and QA to manage Goods In and Goods Out to ensure timely stock movement and receipt.
- Liaise with qualified logistics providers (e.g. Movianto or DSV) to arrange for deliveries to be received and collected
- Assist the Customer Service team with inquiries and complaints related to storage and distribution.
- Ensure proper packing and loading of goods to minimise transit damage, and verify goods are collected and undamaged.
Staffing, Training, and Performance
- Maintain correct staffing levels for all warehouse shifts.
- Make sure all warehouse operators complete and maintain appropriate training.
- Review, manage, and close Deviations and CAPAs within required timelines.
- Empower staff to achieve objectives, and manage all aspects of hiring, training, guidance, discipline, and termination.
Facility Oversight and Continuous Improvement
- Oversee the Environmental Monitoring System (EMS) for warehouse facilities, Goods In CD vault, and cold store.
- Fulfil Head of Production duties as required when the Head of Production is absent,
- Inspect the physical conditions of warehouses, equipment, and vehicles regularly.
- Analyse data and statistics to evaluate department performance, quality, and identify opportunities for improvement.
Other Duties
- Support the Responsible Person (RP) in their responsibilities as needed.
- Ensure only approved transportation systems are used, according to the approved Supplier list and/or QTA.
- Carry out any other reasonable tasks within your capabilities as directed.
Qualifications
- University degree with 5 years’ GMP experience
- CPD for controlled drugs; GxP (preferred)
